Office Administrator
Location: City of London
Salary: £28,000 per annum
Working Pattern: Full-time, office-based (5 days per week)
About the Role
Greymore is seeking a proactive, organised, and professional Office Administrator to support the day-to-day operations of our City of London office.
This role combines office administration responsibilities with Personal Assistant support to the Managing Partner of our City practice. The successful candidate will play a key role in ensuring the smooth running of the office, delivering excellent client service, and supporting Partners and the wider team with administrative and operational requirements.
This is an excellent opportunity for a recent graduate or early-career professional looking to gain experience within a fast-paced and growing international law firm.
Key Responsibilities
Personal Assistant & Partner Support:
- Manage the diary and meeting schedule of the Managing Partner.
- Coordinate internal and external meetings and maintain accurate calendar records.
- Arrange business travel for all Partners, including flights, hotels, transportation, itineraries, and check-in requirements.
- Maintain accurate records of all Partner expenses and prepare monthly expense summaries for submission and review.
- Assist Partners with general administrative tasks and correspondence as required.
Office Administration
- Manage daily administrative operations, including filing, data entry, record keeping, and correspondence.
- Handle incoming and outgoing post, courier arrangements, and deliveries.
- Maintain accurate records of office bookings, expenses, inventory, and operational activities using Excel.
- Prepare monthly operational reports and records for the Operations Director.
- Support team members with day-to-day administrative requirements.
- Coordinate meeting room bookings and prepare rooms for client meetings.
- Welcome clients and visitors in a professional and friendly manner.
- Arrange refreshments for client meetings and visitors.
- Pre-register visitors with building management and maintain professional relationships with building staff.
- Arrange restaurant reservations, hospitality bookings, and meeting logistics for client meetings, business lunches, dinners, and networking activities.
- Assist with the logistical coordination of internal events, client functions, and team gatherings.
Facilities & Supplier Management
- Monitor office supplies and place orders as required.
- Maintain records of office inventory, including laptops, desktops, mobile devices, and other office equipment.
- Liaise with external suppliers and service providers, including printer support companies and office vendors.
- Coordinate office maintenance requests and facilities-related matters.
- Purchase office supplies, refreshments, meeting materials, and office consumables as required.
- Ensure the office environment remains tidy, organised, and professional at all times.
Additional Responsibilities
- Assist with onboarding administration for interns and work experience students, including documentation and record keeping.
- Support the wider team with ad hoc administrative and operational tasks as required.
Requirements
- Fluent in both English and Turkish, with excellent written and verbal communication skills.
- Strong computer skills, including Microsoft Word, Excel, Outlook, and PowerPoint.
- Excellent organisational and time-management skills.
- Strong attention to detail and accuracy.
- Professional and confident manner when dealing with clients and visitors.
- Ability to prioritise tasks and work effectively in a fast-paced environment.
- Good telephone manner and communication skills.
- Right to work in the UK.
Desirable
- Previous experience in an administrative, office support, receptionist, customer service, personal assistant, or similar role.
- Experience maintaining spreadsheets and administrative records.
- Familiarity with general office procedures and business correspondence.
- Experience within a professional services environment would be advantageous.
