Our Consultancy Division is growing fast. With a strong pipeline of projects booking in for Q3 and beyond, we need an organised, office-based Project Coordinator in London to keep things moving — managing the variables, holding the programme and making sure our consultants can focus on doing what they do best.

Coordinate the scheduling and programming of consultancy projects from booking through to delivery.
- Act as the central point of contact for internal teams and external clients on live project progress.
- Manage document control — ensuring all project files, reports and certificates are accurate, version-controlled and accessible.
- Book in and track surveys, site visits and remediation works, liaising with consultants and site teams to keep programmes on track.
- Monitor project milestones and flag risks or delays early, escalating where needed.
- Support consultants with report preparation, formatting and quality-checking before client issue.
- Maintain project trackers and dashboards so the team has live visibility of the pipeline at all times.
- Handle incoming client queries professionally and route them to the right person quickly.
- Support continuous improvement — feeding back process gaps and helping to embed new tools and ways of working as the division scales.

- Proven experience in a project coordination, project support or similar office-based role.
- Exceptional organisational skills — able to manage multiple live projects simultaneously without dropping the ball.
- Strong communicator, both written and verbal, comfortable dealing with clients and senior internal stakeholders.
- Proficient in Microsoft 365 — particularly Outlook, Excel and Teams.
- Detail-oriented and process-driven, with a natural instinct for keeping things structured and documented. • Able to work at pace in a growing business where priorities can shift quickly.
- Comfortable using AI tools to support day-to-day work — including ChatGPT and Claude.
- Demonstrable experience using project management software such as Smartsheet or SimPRO (preferable).
- London office-based and available full time.
