Title: Home Administrator
Responsible to: Home Manager
Purpose: To be responsible for the smooth running of the administration of
the Nursing Home.
Responsibilities:
- Maintain accurate and complete financial records of the Nursing Home in line with Company procedures, using computer and manual systems.
- Prepare and submit monthly accounts for extra services to Clients/Relatives.
- Process receipts of monies against Clients account and maintain associated records.
- Record receipts of payments using computer and manual systems in line with Company procedures.
- Monitor and record the Home’s monthly budget, sharing with the Home Manager.
- Monitor and record petty cash transactions using both computer and manual systems.
- Monitor and record Nursing Home Credit card using both computer and manual systems.
- Ensure all staff shifts are recorded for accurate calculation of wages on a weekly basis using computer (CIVICA) and manual systems.
- Support HR recruitment processes when onboarding new staff. Ordering of uniforms/badges.
- Maintain complete files for Clients and Staff members in line with the Company’s policies and procedures.
- Archiving said files and arrange destruction.
- Operate office equipment.
- Answer the telephone, respond to enquiries from both Clients and Visitors at reception, and re-direct enquiries in a friendly and efficient manner.
- Ensure emails are dealt with in a timely manner.
- Monitor the online enquiries, arranging visits as deemed appropriate.
- Maintain stationary supplies.
- To provide admin and secretarial support to the Home Manager within given timescales.
- Participate in Staff and client meetings as required, taking minutes as requested.
- Ensure that all information of confidential nature gained in the course of duty is not divulged to third parties.
- Support the home in ensuring that staff training is accurately recorded and percentages maintained.
