Job Summary
As a member of the Administration Team, the Service Administrator plays an important role in supporting the efficient delivery of our service and maintenance operations.
The role involves coordinating service jobs, liaising with customers, engineers and suppliers, and ensuring that servicing activities are scheduled, processed and completed efficiently from booking through to certification and completion.
Working closely with internal teams and external customers, the successful candidate will contribute to delivering a high standard of customer service while helping to ensure the smooth day-to-day operation of the service department.

Responsibilities
- Build and maintain strong working relationships with customers, suppliers and internal stakeholders.
- Respond promptly and professionally to customer enquiries via telephone and email.
- Resolve queries and problems efficiently while maintaining excellent customer service standards.
- Liaise with customers to confirm engineer visits for onsite servicing.
- Support the progression of service jobs from booking through to completion.
- Process onsite service paperwork and ensure customers receive the appropriate certification
- Prepare quotations for in-house servicing and third-party repairs.
- Liaise with suppliers regarding pricing, lead times and delivery schedules.
- Maintain and manage the service team inbox, ensuring enquiries are addressed promptly.
- Complete general administrative duties to support the service and wider administration teams.
- Any other duties as may required
Skills
- Previous customer service experience within a B2B environment (essential).
- Experience working within a busy administration or office environment.
- Knowledge of safety equipment or a related sector would be beneficial but not essential
- Proficient in computer skills including Microsoft Office Suite
- Excellent data entry skills with high accuracy and attention to detail
- Strong phone etiquette and communication skills
- Ability to prioritise tasks effectively in a fast-paced environment
- Demonstrated ability to work independently as well as part of a team

Hours: 8.00 am – 5.00pm Monday to Thursday (1hour unpaid lunch), 8:00 am – 4.30pm Friday (30minute unpaid lunch)
