Purpose of the Role
The Commercial Administrator will provide administrative and commercial support to the Company Commercial Lead and wider commercial department. The role is focused on ensuring the efficient administration of commercial processes, management reporting, contract documentation, project trackers, and payment notices, whilst supporting project teams with day-to-day commercial administration requirements.
The successful candidate will play a key role in maintaining accurate records, supporting monthly reporting processes, and assisting in the smooth operation of the commercial function across multiple projects.
Key Responsibilities
Commercial Administration
- Provide direct administrative support to the Company Commercial Lead and UK Commercial Manager
- Assist in the preparation and compilation of monthly management packs.
- Maintain commercial trackers and reporting schedules across all live projects.
- Support the commercial team with document control and record management.
- Assist with the preparation, issue and filing of payment notices and associated documentation.
- Maintain registers for applications, payment notices, compensation events, variations and contractual correspondence.
- Support commercial staff in ensuring project records are maintained accurately and up to date.
- Assist with the preparation of commercial reports and presentations.
Contract Administration
- Maintain project contract files and commercial records.
- Ensure contractual notices and correspondence are issued, logged and archived correctly.
- Support the administration of subcontractor and supplier documentation.
- Assist in monitoring key contractual dates and commercial deadlines.
- Maintain records relating to change management, variations and project instructions.
Management Reporting
- Assist with the production of monthly commercial and financial reporting packs.
- Collate project information from operational and commercial teams.
- Update business performance trackers and forward workload schedules.
- Ensure reporting information is accurate, complete and submitted within required timescales.
Project Support
- Provide administrative support to project commercial teams as required.
- Assist with project-specific commercial initiatives and improvement projects.
- Support the collation of information for claims, final accounts and audits.
- Coordinate information requests from commercial managers and quantity surveyors.
- Assist with the implementation and maintenance of commercial systems and processes.
Skills and Experience
Essential
- Previous experience in an administrative role.
- Strong Microsoft Excel skills.
- Proficient in Microsoft Office Suite.
- Excellent organisational and time management skills.
- Strong attention to detail and accuracy.
- Ability to manage multiple tasks and priorities simultaneously.
- Strong written and verbal communication skills.
- Ability to work independently and as part of a team.
Desirable
- Previous experience within construction, M&E, engineering or a commercial environment.
- Experience supporting quantity surveyors, commercial managers or project teams.
- Knowledge of payment notices and construction contract administration.
- Experience using commercial management software and document management systems.

Pay: £26,000.00-£32,000.00 per year
