About the Role
An exciting opportunity has arisen for an experienced Project Coordinator to join a market-leading manufacturer based in Leeds. This is a key role within the Site Services team, supporting the successful planning, coordination, and execution of site-based projects.
Working closely with the Site Services Planning & Execution Lead, you will play a central role in ensuring projects run efficiently, resources are effectively managed, and all administrative processes are completed to a high standard.
This position is ideal for a highly organised individual who thrives in a fast-paced environment and enjoys coordinating multiple activities while maintaining exceptional attention to detail.
Key Responsibilities
- Monitor weekly vehicle compliance checks through SurveyMonkey and maintain associated records and spreadsheets.
- Review and distribute daily site reports to relevant Project Managers and Contract Managers.
- Maintain and update the company tools register.
- Raise purchase orders for equipment hire, training, labour, and other project-related requirements.
- Coordinate vehicle equipment requirements, including first aid kits, fire-fighting equipment, insurance documentation, and fuel cards.
- Maintain the organisation and cleanliness of the Site Services storage area through regular inspections.
- Process and manage employee expenses, ensuring receipts are approved accurately and on time.
- Coordinate DBS and BPSS clearance processes for personnel working on restricted-access sites.
- Maintain project documentation, site reports, and correspondence within SharePoint and relevant project folders.
- Support the administration of European site work, including applications for carnets, A1 certificates, SIPSIs, LIMOSAs, European breakdown cover, and vehicle travel documentation.
- Arrange travel and accommodation for site personnel and project activities.
- Coordinate the ordering and distribution of PPE for site teams.
- Assist with employee training administration and maintenance of the training matrix.
- Liaise with suppliers to ensure the timely delivery of equipment, materials, and PPE.
- Support the onboarding process for new site team members.
- Provide administrative and coordination support to the Site Services Planning & Execution Lead.
- Respond to day-to-day site coordination enquiries.
- Undertake general project administration and support activities as required.
About You
To be successful in this role, you will possess excellent organisational skills, a proactive approach, and the ability to manage multiple priorities effectively.
Essential Requirements
- Previous experience in a Project Coordinator, Project Administrator, Site Coordinator, or similar role.
- Strong administrative and organisational skills.
- Excellent communication skills, both written and verbal.
- Strong attention to detail and accuracy.
- Ability to work effectively both independently and as part of a team.
- Good working knowledge of Microsoft Office applications.
- Positive, proactive, and solutions-focused attitude.
Desirable Requirements
- Experience working within a manufacturing environment.
- Familiarity with manufacturing IT systems.
- Experience within the transformer or switchgear industry.
