We are seeking an experienced, highly organised and proactive Senior Personal Assistant & Research Group Administrator to provide comprehensive executive support to a senior academic leader and administrative support to a thriving research team within a world-class research environment.

As Senior Personal Assistant, you will provide high-level executive support, managing a complex and demanding schedule and ensuring a wide range of academic, leadership and external commitments are effectively coordinated. You will act as a trusted point of contact, handling sensitive and confidential matters with professionalism, discretion and sound judgement.
Alongside executive support responsibilities, you will provide administrative support to a group of academic colleagues, helping to ensure the smooth operation of a busy and successful research environment.
- Manage an exceptionally busy and complex diary, balancing competing priorities and responding to changing demands.
- Coordinate with a wide range of senior stakeholders to ensure seamless support across multiple leadership, academic and external roles.
- Organise complex UK and international travel arrangements, including itineraries, visas, accommodation and associated documentation.
- Manage correspondence, draft communications and prepare briefing materials.
- Support financial administration, expense claims, subscriptions and invoice processing.
- Assist with the preparation and submission of research grant applications.
- Organise meetings, prepare agendas, papers and minutes, and maintain effective administrative systems.
- Manage and update research group and project websites.
- Handle confidential and sensitive matters with discretion and professionalism.
- Act as the first point of contact for students, staff, visitors and collaborators.
- Support recruitment activities, including advertising vacancies, coordinating interviews and facilitating onboarding.
- Process purchase orders and maintain accurate financial records.
- Coordinate travel and event arrangements for academic staff.
- Support day-to-day research group operations, including room bookings, laboratory administration and equipment coordination.
- Maintain publication databases and support research reporting activities.
- Liaise with HR, Finance and IT teams to support operational requirements.
- Build effective working relationships with a diverse range of internal and external stakeholders.
- Contribute to administrative projects and continuous service improvement initiatives.
- Support office systems, procedures and operational activities.
- Provide administrative cover and assistance to colleagues as required.
You will be an experienced executive support professional with a proven ability to manage competing priorities in a fast-paced environment.
You will demonstrate:
- Significant experience providing high-level support to senior leaders and delivering an exceptional administrative service.
- Strong diary management and complex travel coordination experience.
- Experience organising complex meetings, events or high-profile engagements.
