We are seeking a dedicated and customer-focused Service Advisor to join our team in Sittingbourne
Working hours: 40 hours
0600-1500/ 0700-1600 / 0800-1700 / 0930-1830
Saturday on rota 0800-1300
The Service Advisor plays a key role in delivering an exceptional customer experience by acting as the primary point of contact throughout the vehicle service journey. This position requires a people oriented, customer-focused, organised and proactive individual who can manage service bookings, provide accurate updates, and maintain strong communication between customers, workshop staff, and parts departments. The ideal candidate must be versatile and able to adapt to changing situations, while maintaining consistent communication and professionalism.
The Service Advisor is also responsible for ensuring the accuracy of service documentation, invoicing, and compliance with dealer and manufacturer standards, while actively supporting aftersales revenue through upselling opportunities.
Duties
- Act as the primary point of contact for customers throughout the vehicle service journey.
- Manage service bookings and schedules, including re-bookings, ensuring efficient workshop capacity utilisation.
- Receive customers and vehicles, taking full ownership of the service experience from arrival to handover.
- Provide timely and accurate updates to customers at every stage: vehicle receipt, diagnosis, authorisation, and completion.
- Ensure accurate invoicing of retail jobs prior to vehicle handover, confirming payment or valid order numbers.
- Maintain strong communication between customers, workshop staff, and parts departments.
- Pre-plan parts requirements and pick parts at least 48 hours before vehicle arrival.
- Make pre-arrival confirmation calls to customers to verify booking details.
- Ensure compliance with dealer and manufacturer standards, including correct use of internal systems (e.g. Truckfile) and processes (e.g. Vehicle Health Check, Star View).
- Keep workshop loading system updated and complete all administrative tasks before vehicle release.
- Promote aftersales opportunities and upsell additional products or services where appropriate.
- Liaise closely with the Workshop Controller on planned and unplanned work, including subcontracted tasks.
- Support achievement of daily and monthly WIP targets and maximise sold hours in collaboration with the Service Supervisor.
- Maintain accuracy of service documentation and uphold company policies and procedures.
Experience
- Previous experience in a service advisor or customer-facing role within automotive or similar industry.
- Familiarity with dealer and manufacturer standards and compliance processes.
- Experience in booking systems and workshop coordination.
- Knowledge of vehicle service processes and parts management is desirable.
- Experienced driver with a full UK driving licence
