This is far more than an administration role. You will become an integral part of our management team, ensuring our operations run efficiently while supporting the continued growth of a service striving for excellence.
About the Role
You will be responsible for ensuring the smooth day-to-day running of our office, providing high-quality administrative support across all areas of the business. The successful candidate will be organised, detail-oriented, proactive, and confident in managing multiple priorities while maintaining exceptional standards.

Key Responsibilities
- Manage the day-to-day administration of the office to ensure efficient operations.
- Coordinate diaries, meetings, appointments and training schedules.
- Prepare professional correspondence, reports, presentations and business documents.
- Maintain accurate electronic records and databases with excellent attention to detail.
- Support recruitment administration, onboarding and compliance processes.
- Assist with invoicing, purchase orders, payroll preparation and financial administration.
- Process invoices and maintain financial records using QuickBooks or similar accounting software.
- Answer telephone calls professionally, responding to enquiries with warmth, confidence and efficiency.
- Welcome visitors and represent the organisation professionally at all times.
- Support managers with audits, quality assurance and regulatory documentation.
- Manage office supplies and ensure the office environment remains organised and professional.
- Coordinate meetings, take minutes and follow up agreed actions.
- Liaise effectively with colleagues, professionals, commissioners, suppliers and external stakeholders.
- Assist with organising company events, staff meetings and training sessions.
- Identify opportunities to improve administrative systems and contribute to continuous service improvement.

The ideal candidate will have:
Essential
- Previous experience in a busy administrative or office environment.
- Outstanding organisational and time management skills.
- Excellent written and verbal communication skills.
- Strong attention to detail and high levels of accuracy.
- Ability to prioritise multiple tasks and meet deadlines.
- Excellent IT skills, including Microsoft Office (Word, Excel, Outlook and PowerPoint).
- Experience using Google Workspace.
- Professional telephone manner and exceptional customer service skills.
- Ability to work independently while also contributing positively to a team.
- A positive, proactive attitude with a willingness to learn.
Desirable
- Experience using accounting software.
- Experience working within health, social care or a regulated environment.
- Understanding of GDPR and confidentiality requirements.
- Experience supporting senior managers or directors.
- Knowledge of CQC-regulated services would be advantageous.
