AD Vehicle Services Ltd is a rapidly growing automotive business and a Maxus Main Dealer, operating a busy workshop, body shop, parts department, and nationwide mobile fleet of engineers.
The Role
Due to continued expansion, we are now recruiting for a Workshop Service Administrator to support the daily office operations and customer coordination for our Workshop office. This role with ensure smooth communication between customers, technicians, and the parts department. You will handle scheduling, documentation and service tracking to help keep the workshop running efficiently. A key point to add to this role is that you will be required to provide ad-hoc reception cover.
Key responsibilities include:
- To answer all incoming calls to the Workshop, taking messages and fielding out information to the relevant team members.
- Managing bookings and scheduling service appointments, ensuring the workshop calendar remains up to date at all times.
- To be the main point of contact for keeping all customers informed and up to date with vehicle status reports, delays and estimated costs.
- Liaise between the workshop floor and customers regarding extra repairs that may be needed.
- Creating job cards, updating vehicle histories and filing paperwork.
- Updating the CRM system to ensure we hold accurate customer contact details and preferences.
- Carry out ad-hoc administrative tasks to support the Workshop team as directed.
- Assist the workshop team with chasing customer authorisations.
- Provide ad-hoc support on the reception desk to cover staff absence.
