Job Overview
We are seeking a proactive and customer-focused Vehicle Rental Consultant / Coordinator to join our team. In this role, you will be responsible for managing vehicle rental reservations, coordinating fleet availability, and ensuring a smooth and efficient rental experience for our customers. You will handle customer enquiries, prepare rental agreements, organise vehicle collections and returns, and work closely with the operations team to ensure vehicles are clean, safe, and ready for hire.
The ideal candidate will have excellent communication and organisational skills, a strong attention to detail, and the ability to manage multiple tasks in a fast-paced environment. Previous experience in vehicle rental, fleet coordination, customer service, or a similar administrative role is desirable.
Duties
- Manage vehicle rental reservations, bookings, amendments, and cancellations.
- Provide exceptional customer service by responding to enquiries via phone, email, and in person.
- Assist customers in selecting the most suitable vehicles and rental options based on their needs.
- Prepare and process rental agreements, invoices, and related documentation accurately.
- Verify customer documentation, including driving licences, identification, and payment details.
- Coordinate vehicle availability and schedule collections, returns, deliveries, and exchanges.
- Conduct pre- and post-rental vehicle inspections, recording any damage or maintenance requirements.
- Ensure all vehicles are clean, roadworthy, fuelled, and ready for hire.
- Liaise with the operations and maintenance teams to arrange servicing, repairs, and vehicle preparation.
- Monitor fleet utilisation to maximise vehicle availability and operational efficiency.
- Process customer payments, deposits, refunds, and account transactions in accordance with company procedures.
- Promote additional rental products and services, including insurance options and vehicle upgrades.
- Resolve customer queries and complaints promptly and professionally.
- Maintain accurate records using the company's rental management system.
- Ensure compliance with company policies, health and safety regulations, and legal requirements.
- Support the day-to-day administrative and operational activities of the vehicle rental branch.
- Work collaboratively with colleagues to achieve business objectives and deliver a high standard of customer service.
Qualifications
- Previous experience in a customer service, administration, vehicle rental, fleet coordination, or similar role.
- Excellent verbal and written communication skills.
- Strong organisational and time management skills with the ability to prioritise multiple tasks.
- High level of accuracy and attention to detail.
- Proficient in Microsoft Office (Word, Excel, Outlook) and experience using booking or rental management systems.
- Ability to work effectively both independently and as part of a team.
- Strong problem-solving skills with a proactive and customer-focused approach.
- Professional, reliable, and well-presented.
- Full, valid driver's licence.
Pay: £26,500.00-£30,000.00 per year
