Job Summary
Monday–Friday, choose 4 hours between 8:00 AM and 16:00 PM, totaling 4 hours per day and 20 hours per week.
Due to the transition of the business from a field sales model to a more centralised warehouse and direct distribution structure, we are looking to recruit a part-time Operations & Customer Support Assistant to support the day-to-day running of the business.
This role will support customer ordering, warehouse operations and administrative tasks, helping ensure a smooth transition from rep-based ordering to a centralised fulfilment model.
The new operational support role does not replace the field sales representative function. The role is warehouse and administration based, focused on centralised order processing, fulfilment support and customer service within the new direct distribution model.
The position is varied and will involve a combination of customer service, order processing, warehouse support, credit control and Sage 200 administration.
Duties
Key Responsibilities
Customer Support & Order Processing
- Contact existing customers to take and process orders
- Build and maintain customer relationships over phone and email
- Assist customers with product queries and order issues
- Follow up on customer accounts where required
Credit Control & Payment Management
- Monitor customer accounts to ensure payments are made within agreed 30-day terms
- Contact customers regarding overdue balances where required
- Assist in reducing aged debt and maintaining healthy account status
Escalate ongoing payment issues to management when necessary
Order Management
- Input customer orders accurately onto Excel order sheets
- Process orders through Sage 200
- Ensure pricing and product information is accurate
- Coordinate with warehouse team regarding stock availability
Warehouse Support
- Assist with picking and packing customer orders when required
- Prepare orders for dispatch via courier
- Help maintain an organised and efficient warehouse environment
- Support stock control and general warehouse duties
Administration
- General Sage 200 administration
- Updating customer information and records
- Filing and maintaining operational paperwork
- Supporting the Operations Manager with day-to-day tasks
Skills
- Minimum of 2 years outbound/inbound telesales.
- Good communication and customer service skills
- Organised with strong attention to detail
- Comfortable using Excel and computer systems
- Previous experience using Sage 200 preferred but not essential
- Ability to work across both office and warehouse environments
- Ability to manage workload independently
- Reliable and punctual, with excellent timekeeping
- Excellent organisational skills with strong attention to detail
- Strong time management skills and ability to meet deadlines
- Basic computer proficiency (e.g., Excel, data entry, stock systems)
- Awareness of workplace health and safety practices
- Understanding of inventory control processes
- Good physical stamina and ability to work on your feet for extended periods
- Ability to work with speed and accuracy
