Role Overview
We are seeking a proactive Operations Assistant to join our team in a dual-support capacity, reporting to both the Import Manager and the Product Information Manager. This role is essential for maintaining the smooth flow of international shipments and ensuring the accuracy of our internal systems and website. You will be the "link" between physical logistics and digital data, handling customs documentation and master data entry.
Key Responsibilities
- Import Coordination: Assist the Import Manager with end-to-end shipment tracking, liaising with freight forwarders and overseas suppliers to ensure on-time delivery.
- Customs Documentation: Prepare and verify essential import paperwork, including commercial invoices, packing lists, and certificates of origin, ensuring compliance with UK HMRC regulations.
- Product Data Management: Ensure all product data is 100% accurate and up to date by managing technical specifications, imagery, and spreadsheets within our internal systems and website.
- Supplier Liaison: Work directly with global manufacturers to gather missing technical data, certifications, and compliance documents.
- Operational Support: Support the wider team with administrative tasks, including processing purchase orders, reconciling shipping invoices, and updating internal trackers.
Requirements
- Experience: Minimum 2 years of experience in an administrative, logistics, or data-entry role. Previous experience within a regulated industry (such as Food or FMCG) is highly preferred.
- Technical Skills: Proficient in Microsoft Excel (data manipulation, VLOOKUPs) and comfortable learning new ERP or PIM software systems.
- Communication: Excellent written and verbal English skills for professional correspondence with international partners and internal departments.
- Attention to Detail: Meticulous accuracy is required when handling customs codes and technical product specifications to avoid costly delays.
Attributes: Highly organised, able to prioritise a varied workload, and comfortable working in a fast-paced office environment.
