Job Purpose
The Property Manager will be responsible for the management of their own portfolio of approximately 100 residential properties, ensuring exceptional service is delivered to landlords and tenants whilst maintaining high standards of compliance, communication, and portfolio performance.
The role combines proactive portfolio management with a collaborative approach to departmental operations, providing support to colleagues when required and contributing to the overall success of the Property Management Department. The successful candidate will play an important role in maintaining service standards, sharing knowledge and best practice, and ensuring a consistent customer experience across the business.
Key Responsibilities
Portfolio Management
- Manage a personal portfolio of approximately 100 residential properties, ensuring the highest standards of service are delivered to landlords and tenants.
- Build and maintain strong relationships with landlords, tenants, contractors, and other stakeholders.
- Conduct regular portfolio reviews to ensure properties are managed efficiently and effectively.
- Oversee the full tenancy lifecycle including move-ins, renewals, rent reviews, deposit disputes, and tenancy terminations.
- Manage maintenance issues and property repairs, liaising with landlords, tenants, and contractors to achieve timely resolutions.
- Monitor rental arrears and take appropriate action in line with company procedures.
- Resolve landlord and tenant enquiries professionally and efficiently.
- Handle complaints and service issues, escalating complex matters where appropriate.
Departmental Support
- Work collaboratively with colleagues across the Property Management Department to ensure a consistent and high-quality service is delivered.
- Provide support and assistance to team members during periods of absence, increased workload, or complex case management.
- Share knowledge, experience, and best practice to contribute to the development of the wider team.
- Assist with onboarding and supporting new team members where required.
- Act as a positive and professional representative of the department at all times.
- Support departmental initiatives, process improvements, and service enhancement projects.
Compliance & Risk Management
- Ensure all managed properties remain compliant with current legislation and regulatory requirements.
- Manage compliance processes relating to gas safety, electrical testing, EPCs, smoke and carbon monoxide regulations, licensing requirements, and Right to Rent legislation.
- Maintain accurate records and ensure company procedures are followed at all times.
- Keep up to date with changes in property legislation and industry best practice.
Client Service & Business Development
- Deliver exceptional customer service to maintain high levels of landlord and tenant satisfaction.
- Build long-term client relationships to support portfolio retention.
- Identify opportunities to increase management instructions and promote additional company services where appropriate.
- Support the company's reputation through professional and knowledgeable property management advice.
Operational Excellence
- Ensure company processes and procedures are followed accurately and efficiently.
- Maintain detailed and accurate records using company systems.
- Work closely with Lettings and Accounts teams to ensure seamless service delivery.
- Contribute to continuous improvement of departmental processes and service standards.
Reporting Structure
Reports To: Senior Property Manager
Portfolio Responsibility: Approximately 100 managed properties plus departmental support responsibilities.
Role Location
Head Office – Edgbaston
Hours of Work
Monday to Thursday 9:00am to 5:30pm
Friday 9:00am to 3:00pm
Alternative Saturdays 9:00am to 1:00pm
(30 minute unpaid daily lunchbreak)
