Clearly Hearing Audiology Centre is an independent audiology practice providing hearing healthcare across London. We help adults and children with hearing assessments, ear wax removal, hearing aids, tinnitus, auditory processing difficulties and hearing rehabilitation.
We are looking for a highly organised, proactive and personable Clinic Coordinator to become a central part of our team. This role is ideal for someone who enjoys working in healthcare, loves organisation, and takes pride in delivering an exceptional patient experience.

About the Role
The Clinic Coordinator is responsible for ensuring the smooth day-to-day running of the practice and supporting both patients and clinicians.
You will act as the first point of contact for many patients and help ensure every patient receives a professional, friendly and efficient experience from their first enquiry through to ongoing care.
This is a varied role combining patient administration, scheduling, customer service, clinic support and business administration.
Key Responsibilities
Patient Administration
- Answer telephone calls, emails and online enquiries.
- Book, amend and manage appointments across multiple clinic locations.
- Confirm appointments and send patient information.
- Manage waiting lists and fill cancellations.
- Ensure patient records are accurate and up to date.
- Process insurance authorisations and patient payments.
- Follow up outstanding documentation and forms.
Clinic Coordination
- Support clinicians with diary management and scheduling.
- Coordinate appointments across East Dulwich, Soho and domiciliary services.
- Ensure clinic rooms are appropriately stocked and prepared.
- Manage equipment servicing schedules and maintenance records.
- Support onboarding of new clinicians, students and volunteers.
Patient Experience
- Deliver excellent customer service at every stage of the patient journey.
- Respond to patient queries promptly and professionally.
- Manage patient feedback and assist with complaint resolution.
- Support patient recall and follow-up programmes.
Business Support
- Assist with reporting and administrative projects.
- Support marketing activities including newsletters, review requests and social media scheduling.
- Maintain databases and practice management systems.
- Help improve systems and processes as the business grows.

Desirable
- Previous experience in healthcare administration, medical reception or clinic coordination.
- Experience working with appointment booking systems or healthcare software.
- Knowledge of private healthcare or health insurance processes.
- Experience supporting multiple clinicians or locations.
- Experience with social media, newsletters or marketing administration.
