Cross Clinic Cover Medical Secretary (Fully Remote, Fixed Term)
Salary: £28,000.00 per annum (pro rata) | Contract: 6-Month Fixed Term

We are seeking a dynamic, proactive, and experienced Cross Clinic Cover Medical Secretary to join the team at London Psychiatry Clinic on a 6-month fixed-term basis. This is an excellent opportunity for someone who wants to apply their medical administration experience in a varied, home-based role and become a vital part of a busy administrative team.
London Psychiatry Clinic is a bespoke private clinic located on Harley Street in Central London, providing a range of psychiatric, psychotherapeutic, and mental wellbeing treatments both face-to-face and remotely. We are a forward-thinking, collaborative team and we take pride in the quality of care and service we deliver to our patients and clinicians.
2. Working Arrangements
- Location: Fully remote (work from home)
- Hours: 8:30am – 5:30pm, Monday to Friday, with a one-hour lunch break
- Contract: 6-month fixed term
- Commitment: This role requires full attention and focus during working hours and cannot be combined with other commitments
3. Role Overview
The Cross Clinic Cover Medical Secretary sits across the admin team, providing flexible cover and support wherever it is most needed. This includes stepping in for absent colleagues, supporting high-demand periods, and maintaining continuity of service for both clinicians and patients. The ability to adapt quickly, build rapport across multiple clinician workflows, and work autonomously is essential.
4. Key Responsibilities
- Providing holiday and sickness cover across the medical secretary team, picking up existing workloads with minimal handover
- Extensive diary management and coordination for multiple psychiatrists simultaneously
- Email management across multiple clinician inboxes (typically 4–6+)
- Inbound/outbound telephone management, including handling new enquiries and supporting existing patients
- Liaising with clients, referrers, and medical insurers
- Proofreading and editing clinical letters and reports, and sending via secure systems
- Drafting correspondence on behalf of clinicians
- Invoicing and processing payments by phone
- Managing repeat prescription requests and other patient requests
- Uploading documents to the cloud-based records system
- Proactively managing clinician workloads to ensure all requests are followed up in a timely manner
- Providing general phone cover across the team as required
5. Candidate Requirements
We are looking for candidates who can demonstrate:
- Minimum 2 years’ experience as a medical secretary, medical receptionist, or in a similar administration role within a healthcare setting; experience in private practice or the mental health field is highly beneficial
- Proven ability to work remotely and professionally from home
- Experience with G-Suite (Gmail, Google Docs, Google Sheets, Google Calendar, Google Drive)
- Familiarity with medical CRM systems; Carebit or Semble experience is beneficial
- Fast and accurate typing skills (60wpm+); a typing test will form part of the selection process
- Fluent English, with excellent written and verbal communication
- The highest level of attention to detail
- Strong IT literacy with the ability to learn new systems quickly
- Excellent telephone manner and the ability to deliver 5-star patient service at all times
- A highly organised, self-motivated working style with the ability to manage competing priorities across multiple clinician workflows
- Discretion and sound judgement when handling confidential and sensitive patient information
- A mature, professional approach to navigating challenging or complex situations
