Here at Inspirations we provide a home for children and young people who have particular needs that make it impractical for them to live at home, or who expressly prefer not to be placed with foster carers. We also support young people who display challenging and complex behaviour and would best benefit from a secure, stable environment within a small home setting.
Please note this role will require regular travel to our Head Office in Oadby, Leicester for intial learning and development of the role and on occasional intervals after this. The role will then be split between Rothwell and Oadby offices.
Your Role:
To support the Business Operations Manager, Senior Managers and the wider workforce towards the development and delivery of the best care possible from an administrative perspective, including safer recruitment, Human Resources, file-upkeep, maintenance amongst general trouble-shooting and problem solving for all of our care homes.
Roles & Responsibilities:
- Paperwork & Administration
- Review paperwork within the company and ensure they are up to standard
- Use own intiative to come up with new and innovative ways to use paperwork
- Ensure all files are up-to-date and regularly checked
- Support the Operations team and care homes with daily duties such as IT issues and problem-solving any unexpected issues that may arise
- Payroll & Invoices
- Assist with payroll; reviewing timesheets and liasing with Managers to ensure they are accurate and up-to-date
- Reviewing rotas to ensure they match timesheets
- Checking invoices and investigating discrepancies
- Ensuring all accounts are reviewed and accurate
- Recruitment
- Support the Operations team with recruitment
- Thinking outside of the box to source suitable applicants and monitoring Indeed applications in order to support growth and staffing levels
- Reviewing application forms and arranging interviews
- Completing checks in-line with Safer Recruitment
- Assist with new starter inductions and the procedures that are required alongside this
- Problem Solving and IT support
- Support workforce with IT systems, including internet and other software
- Work to resolve problems as and when they arise across the organisation and utilise support and external contacts to resolve these such as maintenance, vehicles and IT
- Policy Adherence
- Works from the guidelines from the Children's Home regulations, 1989 Children’s Act, Care Standards 2000 Standards and any other relevant legislation.
- Knows the 9 aspects of Quality Standards, ensuring Safeguarding is core in everything we do.
- Responsible for the accurate maintenance of financial records appropriate to the duties of the post
- Responsible for the health, safety and welfare of self and colleagues in accordance with the organisational Health and Safety Policies
- Receives training and maintaining up to date training profile appropriate to the role
- Monitors the conduct of colleagues and referring any causes for concern (Whistleblowing)
