Purchasing Administrator

Due to continued growth, we are looking to appoint a Purchasing Administrator to join our Supply Chain team. This is an exciting opportunity to join a fast-developing and expanding market-leading organisation.
Salary: £26,436.80 per annum.
Duties and Responsibilities
Duties will include, but are not limited to:
· Raising and sending purchase orders to suppliers, managing order acknowledgements and ensuring purchase orders are approved and processed in a timely manner.
· Expediting purchase orders and following up with suppliers to ensure goods are delivered within the required timescales.
· Maintaining accurate purchasing records, supplier records and purchasing databases.
· Communicating with suppliers to ensure the correct booking-in processes are followed.
· Working with site teams and third-party warehouses to provide accurate booking and delivery information.
· Coordinating with suppliers to resolve order and delivery issues and supporting supplier performance monitoring and evaluation activities.
· Working closely with the Warehouse and Production teams to manage inventory space requirements.
· Monitoring stock levels in line with agreed space parameters to optimise inventory levels and avoid stock shortages or excess stock.
· Supporting planning activities by providing regular and accurate purchasing updates.
· Preparing regular purchasing reports, supplier performance reports and purchasing metrics.
· Maintaining purchasing trackers and keeping relevant stakeholders updated regarding pending orders, delivery timescales and any identified issues.
· Providing administrative support to the Supply Chain team, including assisting with order processing when required.
· Supporting ad-hoc requests and providing cover during the absence of other team members.
· Supporting the completion of the monthly stock take.
· Strictly adhering to Environmental, Health and Safety policies and safe operating procedures, while promoting a positive health and safety culture to safeguard all employees.
· Strictly adhering to Technical and Quality policies and procedures, proactively contributing to the business’s food safety and quality culture while maintaining high product quality and Good Manufacturing Practice standards.
· Carrying out any other reasonable duties as required.
Key Skills and Attributes
· Previous experience in an administrative, purchasing or supply chain role would be advantageous.
· Strong organisational and administrative skills.
· Excellent attention to detail and a commitment to maintaining accurate records.
· Ability to manage multiple tasks and priorities within a fast-paced environment.
· Confident written and verbal communication skills.
· Ability to communicate effectively with suppliers, colleagues and stakeholders at all levels.
· A proactive approach to following up orders, resolving issues and meeting deadlines.
· Strong IT skills, including experience using Microsoft Office applications, databases and trackers.
· Ability to work effectively both independently and as part of a wider team.
