Operations Assistant (Nursery) – Potters Bar
We are seeking a highly organised and proactive Operations Assistant to support the day-to-day running of a nursery setting. This role requires a strong understanding of early years operations, compliance, finance administration, and parent communication.
The candidate will work alongside and will be reporting directly to the Manager Director.
Previous corporate or professional administrative experience is highly desirable, with the ability to bring structure, efficiency, and professionalism into a busy childcare environment.
What We Offer:
- Salary will be competitive depending on experience and qualifications: £27k to start
- Part-time to start with: 20 hours per week, progressing to full time after a few months
- Will work mostly remote but will be required to be in the office 2-3 days per week depending on requirements.

Key Responsibilities
1. Nursery Operations & EYFS Understanding
- Develop a strong working knowledge of the Early Years Foundation Stage (EYFS) framework
- Support the implementation and monitoring of EYFS standards across both settings
- Assist with maintaining high-quality provision and operational consistency
- Liaise with room leaders and management to ensure smooth daily operations
2. Compliance, Health & Safety
- Ensure all health & safety requirements are up to date and adhered to at all times
- Maintain and review risk assessments, accident/incident logs, and safety checks
- Support with compliance audits and inspection readiness (e.g. Ofsted)
- Keep all policies and procedures current, compliant, and well-documented
- Track staff training records (e.g. safeguarding, first aid, food hygiene)
3. Finance & Administrative Support
- Manage nursery invoicing processes accurately and on time
- Reconcile payments and monitor outstanding balances
- Support with funding administration (e.g. free hours, government schemes)
- Maintain accurate financial records and reports for management review
- Liaise with parents regarding billing queries in a professional manner
4. Systems & Technology (Famly Platform)
- Develop proficiency in the Famly nursery management system
- Maintain accurate child, parent, and billing records
- Support staff with day-to-day use of the platform
- Generate reports and ensure data integrity
5. Parent Communication & Customer Service
- Respond promptly and professionally to daily parent enquiries via email and systems
- Provide clear, helpful communication regarding bookings, billing, and general queries
- Maintain a high standard of customer service and parent satisfaction
6. Marketing & Content Support
- Create simple marketing materials and internal documents using tools such as Canva
- Support social media updates and nursery communications where required
- Assist with newsletters, posters, and parent communications
7. General Administrative & Operational Support
- Manage emails, calendars, and general admin tasks across both sites
- Support recruitment administration (e.g. interview scheduling, onboarding documents)
- Assist with maintaining staff records and HR documentation
- Provide ad hoc operational support to leadership as required
Key Skills & Competencies
- Strong organisational and multitasking skills
- Excellent written and verbal communication
- High attention to detail and accuracy, particularly in financial tasks
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Comfortable learning and using digital systems (e.g. Famly)
- Ability to work independently and prioritise workload
