Events Location: Leeds office (on-site)
Schedule: 4 days per week, 6 hours per day 10am-4pm (this is flexible)
plus extra pay for working at event days (weekend work) £15PH

Role Overview
We’re looking for a highly organised Event Admin Assistant to support the smooth planning and delivery of our events. You’ll handle day-to-day admin, supplier coordination, artist logistics, and office support, ensuring details are captured, deadlines are met, and our team has what they need to deliver standout shows with weekend work available at our events. Ideally with knowledge and interest in House music and events
Key Responsibilities
- Event administration
- Maintain event schedules, run sheets, contact lists, and shared calendars and company actions.
- Prepare and update event documentation: venue packs, accreditation lists, event kits and event briefs.
- Track deadlines, deliverables, and approvals; circulate reminders and status updates.
- Supplier and venue coordination
- Request quotes and co ordinate between our office and operations team, supporting the operations manager
- Liaise with venues on dates, contracts, tech specs, and access times.
- Support equipment and merchandise ordering; manage courier bookings.
- Artist and talent logistics
- Collect tech riders, hospitality requirements, IDs, and travel details.
- Assist with travel and accommodation holds/confirmations and itineraries.
- Prepare guest lists and accreditation badges; support on-the-day check-in materials and event management
- Marketing and ticketing support
- Collate assets and copy for listings; proofread and upload event details across platforms.
- Monitor ticket counts and prepare simple sales snapshots.
- Coordinate guest list requests and influencer/partner allocations.
- Data and office ops
- Keep CRM and spreadsheets accurate and up to date.
- File contracts and documents, maintain tidy drive structures and naming conventions.
- General office support: stock checks, meeting notes, and errands as needed.
What You’ll Bring
- Strong organisational skills and attention to detail; able to juggle multiple deadlines.
- Clear written and verbal communication; confident liaising with venues, suppliers, and artists.
- Proficiency with Google Workspace or Microsoft 365; confident with spreadsheets.
- Comfortable working from a busy Leeds office and occasionally adapting hours around event needs.
- A proactive, calm, and solutions-focused mindset.
- Desirable: experience in events, music, nightlife, hospitality, or ticketing platforms (e.g., Eventbrite, Skiddle, RA); basic understanding of production/tech riders.
Working Hours and Flexibility
- Part-time: 4x 6 hour days Monday to Thursday with additional hours and pay on event days
- Core hours to be agreed; occasional evening/weekend flexibility around key event dates may be requested with notice and compensated accordingly.
