We are looking for an organised, proactive and friendly Patient & Customer Services Administrator to join our team. This is a varied role that combines reception, administration, customer service, stock control and order processing.
The Role
This is much more than a reception position.
You will be a key member of our team, acting as the first point of contact for patients, customers and healthcare professionals. You will help ensure the smooth day-to-day running of the clinic and support our wider customer service and product fulfilment activities.
The ideal candidate will be highly organised, confident communicating by telephone and email, and able to manage multiple priorities while maintaining excellent attention to detail.
Key Responsibilities
Reception & Patient Services
- Welcome patients to the clinic in a friendly and professional manner.
- Answer incoming telephone calls and respond to enquiries.
- Book, amend and manage appointments using our clinic software.
- Process payments and issue receipts.
- Support patients with appointment queries and follow-up communications.
- Maintain a clean, professional and welcoming reception area.
- Help ensure patients receive an exceptional experience from first contact through to discharge.
Customer Service & Administration
- Manage shared email inboxes and incoming enquiries.
- Respond to customer queries by telephone and email.
- Process orders accurately and efficiently.
- Liaise with customers regarding deliveries, stock availability and order updates.
- Maintain accurate records and databases.
- Prepare documentation, reports and correspondence as required.
- Support clinicians and management with general administrative tasks.
- Assist with customer follow-up communications and service enquiries.
Stock Control & Operations
- Monitor stock levels and maintain accurate inventory records.
- Receive, check and organise incoming deliveries.
- Prepare and process outgoing orders.
- Assist with stock counts and audits.
- Reorder stock and supplies when required.
- Help maintain organised storage and stock areas.
- Liaise with suppliers and couriers when necessary.
- Support the smooth day-to-day operation of the business.
Essential Skills & Experience
- Previous experience in administration, reception or customer service.
- Excellent telephone manner and written communication skills.
- Strong organisational skills and attention to detail.
- Good IT skills, including Microsoft Office.
- Ability to manage multiple tasks and priorities.
- Professional, reliable and trustworthy.
- Friendly, positive and confident approach to customer service.
Desirable Skills & Experience
- Experience working within a healthcare environment.
- Experience with appointment booking or practice management systems.
- Experience handling customer orders and stock control.
- Experience managing shared email inboxes.
- Knowledge of podiatry, physiotherapy or healthcare services.
