About the Role
This role exists to ensure the smooth, compliant, and high-quality delivery of bid and tender submissions. Sitting within the bids function and working closely with the Head of Bids and wider sales team, the Bid Coordinator is accountable for managing the end-to-end coordination of the bid process, maintaining structure and momentum across multiple opportunities. The role plays a key part in enabling the business to respond effectively to opportunities, supporting both the quality of submissions and overall win rates through strong organisation, communication, and attention to detail.
Key Responsibilities
Lead the end-to-end coordination of bid and tender submissions, ensuring all activities are clearly planned, tracked, and delivered to deadline
Create and maintain bid plans, timelines, and action trackers, driving accountability and clarity of ownership across all contributors
Maintain and evolve the bid library, ensuring boilerplate responses, case studies, and previous submissions are current and accessible
Support the ongoing improvement of bid processes, tools, and templates, helping to increase efficiency, quality, and overall win rates
Track bid activity and metrics, contributing to reporting and performance insights
Who you are and how you’ll make an impact
You communicate clearly and confidently, both in writing and verbally, and are able to work effectively with a range of stakeholders to gather input, clarify requirements, and keep activity on track. Your ability to interpret tender documentation and translate it into clear actions and structured outputs allows you to support high-quality submissions.
You bring experience from within a bid or tendering environment, where you have developed strong organisational and coordination skills and are comfortable managing multiple deadlines and priorities. Your approach is structured and detail-oriented, enabling you to maintain accuracy and consistency across complex submissions while ensuring compliance with often strict and detailed requirements.
You are comfortable working under pressure and to tight timelines, maintaining focus and quality even when managing competing demands. Your analytical thinking supports opportunity qualification and contributes to improving the effectiveness of bid responses over time.
Experience in environments such as technology consultancy, professional services, or working with public sector frameworks and procurement processes enables you to navigate complex bid landscapes. Your familiarity with bid management approaches, combined with a proactive mindset, allows you to contribute to continuous improvement in processes, tools, and outcomes.
A day in the life
A typical day might begin with reviewing active bids, checking progress against timelines, and updating trackers to reflect current status and priorities. You may be coordinating with internal stakeholders to gather outstanding inputs, ensuring everyone is clear on deadlines and expectations.
Throughout the day, you might review new tender documentation, extracting key requirements and building out a structured checklist to guide the response. You could be supporting the Bid Writer by drafting sections of content or arranging interviews with subject matter experts to capture key insights.
You’ll likely spend time managing documentation, ensuring the latest versions are in place, formatting is consistent, and all required materials are complete. As deadlines approach, you’ll oversee final checks and manage submission through procurement portals, ensuring everything is accurate and compliant.
Alongside live bids, you may review procurement platforms for new opportunities, summarising these for internal discussions, or updating pipeline trackers to provide visibility to the wider team. You could also contribute to a retrospective on a recent submission, capturing lessons learned and identifying ways to improve future processes.
Across all of this, you act as the central point of coordination, keeping activity aligned, organised, and moving forward.
