Job Title: Team Secretary / Personal Assistant – Capital Markets

Role Overview
An exciting opportunity has arisen for a highly organised and proactive Team Secretary / Personal Assistant to join the London Capital Markets team based in Baker Street, London.
This role will provide high-level administrative and organisational support to a busy, transaction focused team. You will play a key role in ensuring the efficient running of day-to-day activities, supporting senior stakeholders, and contributing to the successful delivery of client instructions in a fast-paced environment.
Key Responsibilities
Team & Administrative Support

Provide full secretarial and PA support to a team of fee earners, including senior leadership

Manage complex and ever-changing diaries, prioritising meetings and resolving conflicts

Arrange internal and external meetings, including logistics, room bookings, and hospitality

Coordinate UK and international travel, including itineraries and visa requirements where applicable

Process expenses in line with company policies
Document Production & Reporting

Prepare, format, and proofread reports, client presentations, and marketing materials to a high standard

Assist with the production of pitches, submissions, and investment memoranda

Maintain accurate document management and filing systems
Client & Stakeholder Management

Act as a professional point of contact for clients and internal stakeholders

Build strong relationships across the business and with external partners

Ensure all communications are handled promptly and professionally
Deal & Pipeline Support
-
Assist with transaction processes, including coordinating documentation and timelines

Support pipeline tracking, reporting, and CRM system updates

Liaise with internal teams (e.g. finance, legal, compliance) to support deal execution
Financial Administration

Assist with invoicing, billing processes, and fee tracking

Support budget monitoring and reporting where required
General Support

Provide ad hoc administrative support as required

Identify opportunities to improve processes and enhance team efficiency
Skills & Experience
Essential:
-
Proven experience as a Team Secretary, PA, or EA within a professional services environment (real estate, property, finance, or similar)

Strong organisational and time management skills with the ability to multitask effectively

Excellent written and verbal communication skills
-
Advanced Microsoft Office skills (Word, Excel, PowerPoint, Outlook)

High attention to detail and accuracy
-
Discretion and professionalism when handling confidential information
