Role & Responsibilities
§ Global sourcing, pricing of external plant welfare transport, training & materials from requisition forms, along with other orders provided by Directors, Senior Project Delivery Managers or Site Managers based on the three-quote system
§ High levels of communication, conducting meetings with suppliers, rate negotiation outside of agreed terms
§ Engaging new suppliers
§ Supplier Invoice disputes-escalation process in place
§ Generating revenue from P&E over external supply chain
§ Ensure requisition forms are completed for all requests
§ Liaising with suppliers to book in and programme delivery
§ Raise purchase orders, checking approved suppliers’ invoice
§ Ensures VAT invoices from Credit card payment are forwarded to Accounts/Accounts Manager to ensure accounts reconciliation can take place
§ Global booking of Hotels/Airbnb accommodation in line with company/job budget and record on accommodation costs
§ Global ordering of PPE, High level of communication
§ Updating employee PPE on Mango
§ Build and maintain relationships with both new and current suppliers, complete credit account applications if needed, proactively contacting them Via phone calls and emails
§ Maintain and update job order summary sheets (Located on Teams)
§ Maintain and update Supplier issues – Loss Damage Spreadsheet, Supplier list & rates
§ Process Expense receipts in line with the company expenses policy
§ Support Commercial in quote requests for tenders to be submitted
§ Support the Global Ebsford on administration tasks and holiday/sickness cover, Line manager agreement prior
§ Create Job Team folders as when required
§ Logging of plant & equipment via IMS asset timesheet and Mango if a long-term asset
§ Assist P & E update test certification of plant and equipment, organise and book in plant and equipment that requires test/inspection
§ General office duties, printing, laminating, printing of site forms, Uploading of site files- information IMS and job team’s folder
§ Operations Meeting – minute taking, distribution of minutes and creating agenda
§ Occasional visits to site to maintain knowledge of plant and equipment
§ Any other Ad hoc tasks to suit business needs, Line manager approval
§ Creating Site Files
Be a presence at Windmill Farm as and when necessary
Knowledge & Qualifications
Essential criteria
§ Be IT literate and have experience both with Windows operating system and Microsoft Office Suite
§ Strong time management skills and the ability to prioritise workloads accordingly
Have a good telephone manner and excellent communication skills both written and verbal
Desirable Criteria
§ Level 1/2 qualification in Business Administration
§ Level 1/2 qualification in Customer Service
Experience of Xero software programme
