Purpose of the Role
To support the effective delivery of the charity’s Meals on Wheels service and Day Centre by providing high-quality administrative, volunteer, and compliance support. The role plays a key part in recruiting and supporting volunteers, maintaining safeguarding and DBS compliance, supporting fundraising activity, and working flexibly within a small team to meet the needs of older and vulnerable people in the community.
To help with fundraising for the charity and attending events within the community to help build our profile and relationships throughout.
Key Responsibilities
Administration & Service Support
- Provide efficient administrative support across Meals on Wheels and the Day Centre
- Maintain accurate records, databases, and monitoring information in line with charity and funder requirements
- Act as a first point of contact for service users, families, volunteers, donors, and partner organisations
- Support rota planning, service scheduling, and day-to-day operational needs
Volunteer Recruitment, Training & Support
- Coordinate the recruitment, induction, and ongoing support of volunteers
- Arrange volunteer training, inductions, and refresher sessions, including safeguarding and health and safety
- Maintain up-to-date volunteer records, roles, and availability
- Support volunteer engagement, retention, and recognition initiatives
Safeguarding, DBS & Compliance
- Ensure all volunteers and relevant staff have appropriate and up-to-date DBS checks
- Monitor safeguarding training, mandatory training, and compliance requirements
- Maintain confidential records in line with safeguarding, GDPR, and charity policies
- Support safeguarding processes, escalating concerns promptly and appropriately
Fundraising & Income Generation
- Support the planning and delivery of fundraising activities and events
- Assist with community fundraising initiatives and supporter engagement
- Maintain accurate records of donors, fundraising income, and Gift Aid information where applicable
- Liaise with supporters, volunteers, and local partners to promote fundraising activities
- Support grant monitoring and reporting where required
Partnership Working & Community Engagement
- Liaise with partner organisations, referrers, funders, and community groups
- Support collaborative working to promote the charity’s services and fundraising activities
- Represent the charity positively in communications and meetings as required
Feedback, Quality & Service Improvement
- Receive, record, and respond to feedback, compliments, and concerns
- Support complaints handling in line with charity policies
- Contribute to service development and continuous improvement
Team Working & Flexibility
- Work flexibly within a small team, interchanging between roles and duties as required
- Provide cover and support to colleagues to ensure continuity of services
- Undertake any other reasonable duties in line with the needs of the charity
Person Specification
Essential
- Strong administrative and organisational skills
- Experience working in a charity, community, or volunteer-based environment
- Understanding of safeguarding and the importance of DBS compliance
- Excellent communication and interpersonal skills
- Ability to manage confidential information appropriately
- Flexible, adaptable, and able to work effectively in a small team
Desirable
- Experience of volunteer recruitment, training, or coordination
- Experience supporting fundraising activities or community events
- Experience working with older people or vulnerable adults
- Knowledge of charity compliance, monitoring, or funder reporting
