About the Role
We are seeking an organised and detail-oriented administrator to process incoming clinical correspondence into patients' electronic medical records. This is a highly structured, process-driven role that requires excellent attention to detail, accuracy and the ability to work efficiently through a high volume of documents while following established procedures.
The role is ideally suited to someone who enjoys routine, computer-based work and takes pride in consistently producing accurate results. You will be expected to recognise when information needs to be escalated, follow practice protocols and contribute to the safe and effective management of patient records.
Main Duties & Responsibilities
· Process incoming clinical correspondence using Docman in accordance with practice protocols.
· Accurately code, file and route documents within the EMIS clinical system.
· Ensure patient records are maintained accurately and confidentially.
· Identify and escalate documents that require clinical review or fall outside established protocols.
· Work within agreed quality and productivity standards while maintaining a high level of accuracy.
· Support the ongoing development and improvement of document processing procedures, including the use of new digital and AI-assisted tools.
· Undertake any other administrative duties appropriate to the role as required by the practice.
Essential Skills & Attributes

· Process-driven with the ability to follow protocols and standard operating procedures consistently.
· Good IT literacy, including confidence using Microsoft Office applications such as Word, Outlook and Excel.
· Comfortable learning and using new digital systems and technologies, including AI-assisted software and workflow tools.
· Ability to work independently while recognising when issues need to be escalated.
· Good written and verbal communication skills.
· Reliable, dependable and able to always maintain confidentiality.
· Able to remain focused while undertaking repetitive, computer-based tasks for prolonged periods.
Desirable Skills & Experience
· Previous experience using Docman document management software.
· Previous experience using the EMIS clinical system.
· Experience working within a GP practice, NHS or healthcare administrative environment.
· Experience processing confidential or sensitive information.
Experience Required
- Minimum of 1 years’ experience in an administrative role
