We are now recruiting for a Head of Facilities Management to lead the safe, compliant, and cost-effective operation of the Leyland office, ensuring facilities services are delivered efficiently through effective supplier and contract management.
The role is responsible for site-wide facilities operations, statutory compliance, and the performance of external service providers, ensuring the workplace is safe, secure, and fully functional. Working closely with the Operations Director, ensuring the workplace enables efficient day-to-day operations, with minimal disruption, full compliance, and effective use of space and services.
Hours: 37.5 hours, Monday – Friday between 09.00 – 17.30
Job Accountabilities
Facilities Operations
- Oversee day-to-day facilities operations
- Ensure the site is safe, secure, and fully operational at all times
- Coordinate planned and reactive maintenance activities, including commissioning and supervising handyperson/contractor support for minor works and repairs as required
- Establish, maintain and continuously improve a Planned Preventative Maintenance (PPM) programme for building systems and critical assets, including scheduling, contractor coordination, completion evidence and remedial follow-up
- Act as escalation point for site issues and major incidents, including out-of-hours where required
Front of House & Team Leadership
- Provide day-to-day leadership and management of the Reception team (2 direct reports)
- Ensure a professional, efficient, and secure front-of-house service
- Set clear objectives, standards, and performance expectations for Reception staff
- Manage rotas, absence, and cover to ensure consistent service delivery
- Support development, training, and performance management of team members
- Ensure all visitors are managed in line with company security, compliance, and customer service standards
- Act as overall office manager for day-to-day workplace services, including oversight of meeting rooms, office supplies, and shared areas
- Ensure meeting rooms are set up and maintained (layout, catering/refreshments where applicable) and that AV equipment is functional, supported, and ready for use
- Drive continuous improvement in front-of-house processes and service quality
- Act as escalation point for any front-of-house or visitor-related issues
Health, Safety & Statutory Compliance
- Ensure compliance with all relevant Health & Safety and building regulations
- Maintain risk assessments, including workstation and specific risks across the workforce
- Oversee fire safety compliance including routine testing, evacuation procedures, and maintenance/servicing of life safety systems (e.g., fire alarms, emergency lighting) delivered by competent providers
- Ensure appropriate certification, inspections, and insurance documentation are in place and up to date
- Maintain a statutory compliance register/calendar (e.g., inspections, servicing, tests), ensuring actions are completed on time and evidence is retained
- Ensure competent persons and required H&S training/qualifications are in place (internally and via contractors), and coordinate audits/inspections and corrective actions
- Support a proactive approach to reducing workplace incidents
- Attend Safety Board meetings, providing facilities and H&S performance updates (incidents, audits, compliance status) and ensuring actions are recorded, owned and closed out
Supplier & Contract Management
- Manage all facilities-related suppliers and contractors across sites
- Monitor performance against SLAs and KPIs, driving service improvements
- Support the Director of Operations, in contract reviews, renewals, and supplier negotiations in line with business needs
- Ensure delivery of services is cost-effective, consistent, and aligned to agreed standards
- Work closely with the Director of Operations (where applicable) on sourcing and contract governance
Financial & Cost Management
- Develop and manage facilities budgets in partnership with Director of Operations
- Monitor expenditure across all sites against budget and forecast
- Identify and deliver cost-saving opportunities without compromising service quality
- Ensure value for money across all supplier contracts and services
Asset, Utilities & Environmental Management
- Oversee management of utilities including electricity, gas, and water
- Monitor consumption and identify opportunities for cost and usage reduction
- Ensure effective waste management processes are in place and compliant
- Support implementation of practical sustainability and efficiency initiatives
- Collect, maintain and report sustainability data (e.g., utilities consumption, waste, key environmental metrics) wider ESG reporting requirements, working with Finance/Group teams
Space Planning & Site Coordination
- Coordinate office moves, layout changes, and space optimisation activities
- Work with internal stakeholders to deliver site changes within agreed timelines
- Maintain accurate records of site layouts and facilities assets
Business Continuity & Risk Support
- Support the development and maintenance of business continuity plans relating to facilities and site operations
- Ensure readiness for site disruptions, including access to critical services and suppliers
- Contribute to incident response and recovery planning
Stakeholder Management
- Act as key point of contact for facilities across the organisation
- Work cross-functionally with Operations, IT, HR, and Finance
- Provide regular updates on facilities performance, risks, and initiatives
- Build effective relationships with external providers and local authorities where required
- Working with the Group on sustainability goals.
To be considered for this role, we need you to have the following skills, experience and qualifications:
Qualifications:
- NEBOSH General Certificate or equivalent recognised Health & Safety qualification (e.g. IOSH, NCRQ)
Experience:
- Proven experience in facilities management, ideally across multiple sites
- Experience managing external suppliers and service contracts
- Experience managing budgets and delivering cost efficiencies
Knowledge and Skills
- Strong understanding of Health & Safety and statutory compliance requirements
- Commercially aware with strong cost management capability
- Experience in supplier performance management (SLAs/KPIs)
- Strong organisational and problem-solving skills
- Practical office management capability, including meeting room operations and coordination of AV/support services
- Strong attention to compliance documentation, statutory records, and contractor control
- Effective communication and stakeholder management across all levels
- Ability to manage multiple priorities across different locations
