Job Summary
We are seeking a detail-oriented and proactive Finance Administration Assistant to support the delivery of an efficient, accurate and customer-focused finance and administration service for Care HA through day-to-day transactional processing, financial administration and effective record keeping.
The postholder will work closely with colleagues across the organisation to support finance and administrative processes, respond to queries, and help maintain accurate and up-to-date financial records and documentation.

Duties
Finance Responsibilities
- Process purchase invoices accurately and in a timely manner using the accounting system.
- Liaise with internal departments and suppliers to obtain outstanding invoices and statements, and resolve transactional queries.
- Monitor arrears and recharge invoices, liaising with relevant internal departments, local authorities and other parties where required.
- Take responsibility for key monthly reconciliations, including utilities, supplier statements and service charge reconciliations.
- Assist with monthly bank reconciliations, ensuring receipts and payments are accurately matched to bank statements.
- Monitor the finance inbox and respond to routine finance enquiries in a professional and timely manner.
- Support the preparation of audit working papers and supporting schedules.
- Maintain accurate financial records, including filing, document management and other administrative processes.
- Process company card transactions and complete related reconciliations.
- Provide cover for key finance processes during periods of absence.
Operational and Administrative Responsibilities
- Support the completion of operational tasks, including payment of utility bills, TV licences, insurance and other administrative duties required by the wider team.
- Open, distribute and process incoming post.
- Monitor office supply levels and place orders as required.
- Promote effective communication, excellent customer service and continuous improvement in all aspects of the role.
- Undertake any other duties reasonably required by the organisation.

Knowledge and Skills
Essential
- A good general level of education (GCSE or equivalent, or higher)
- Good written and verbal communication skills
- High level of accuracy and attention to detail
- Good working knowledge of Microsoft Excel
- AAT qualified or willingness to work towards a finance qualification
- IT literate with confidence using Microsoft Office applications
- Strong organisational skills and ability to prioritise workload

Desirable
- Previous experience in a similar finance role, including an understanding of basic accounting processes and reconciliations
- Experience of using accounting software, such as Sage
- Understanding of housing benefit and/or rent accounting processes
