WEDDING COORDINATOR
Hours: Full Time (40hrs per week)
Reports To: Senior Wedding & Events Sales Coordinator
Direct Reports: None
Salary Range: £28,080 per annum
Summary of Overall Role Purpose
The first point of contact for client and suppliers and ensuring that excellent customer service is maintained from the initial booking to the day of the event. A commitment to ensure that the Coton House Farm provides an extremely positive and special day for all guests is essential. This is a front facing Job. You need to be confident talking to customers in person, on the telephone and communicating via email, precisely and detailed. Attention to detail. You will work some evenings until 8 pm, and some weekends on a shift rota. This is usually 10 hr days unless you are running a wedding when you will work 12hrs 8am-8pm as the lead coordinator. 40 hr weeks! You must be a team player ! friendly, fun and helpful as our couples are really important to us. Wear the uniform and have a smart attendance records.
Primary Elements of the Role
· Meet perspective couples or companies and sell our venue space for their wedding or event.
· Manage your availability to the maximum to provide opportunities for perspective customers to meet with you.
· Work with the couple or company to produce itineraries of their day or event.
· Advise on suppliers, event timings, experience, rules of venue, and legal requirements to ensure their event is the best we can deliver, to their budget, and their wishes whilst remaining safe and legally compliant.
· Work with your couple or company on the day of their event to help deliver their wedding day and itinerary.
· Respond to email, phone, social media, and other lines of contact from perspective customers.
· Act with honesty , integrity, and loyalty and in line with procedure and branding.
· Increase bookings/sales of the venue.
· Increase online sales of packages.
· Advise , manage, oversee, and report on the delivery and performance of the event or wedding, staff, facilities, and partners.
· Invoicing and maintaining audit trails.
· Manage the needs and requirements of registrars on an operational level.
· Manage and control outside suppliers, their demands, requirements and ensure compliance with policy , licensing, environmental health and health and safety.
· Build relationships with outside suppliers for the benefit of our couples and the business.
· Create/obtain material including videography and photographs for promotional and social media.
· Create and post social media content to support the growth of the business and increase sales over all channels.
To work with other coordinators on a planned rota.
(10 hour days unless you are lead coordinator on a wedding day which is a 12 hour day. 40 hours per week working. (4 day weeks.) Wedding day additional 2 hours are removed from a Tuesday duty time.)
All duties are placed on an app for staff and planned in significant advance following the rota with any minimal changes eg/ than sickness and Holiday cover. We do not work Christmas Eve , Christmas Day, and Boxing Day. (Most Christmas periods we try and maintain 2 weeks closing.)

Previous Experience
· Wedding coordinator / sales coordinator advantageous, but not necessary.
· Face to face Sales experience, customer facing.
· Hospitality experience advantageous.
· Planning experience preferred.
Qualifications
· English and Maths at GCSE grade C or above
· Hospitality , business, and management qualifications would be desirable.
Other Requirements
· The ability to work weekends and evenings will be required.
· The ability to work a shift rota generally between 10-12 hours per day.
· Ability to lift, or move tables, chairs, wedding dressing/venue items, and work well under timely pressure. You will need to be physically and mentally capable of working in this environment.
