The purpose ofthe role:
To provideexceptional customer service and a comprehensive financial and administrativeservice through the leadership of the Contract Support Team. Support the Finance Team with month-end andfinancial reporting. It is key that the Lead Contract Support understandsprocedures, and processes, and operates them to the required standard,encouraging best practices across the business.
What You’ll Do:
Contract
- Build and developrelationships with key business and account stakeholders, customers, andexternal agencies.
- Drive high quality commercial performancethrough understanding the contractual commitments, better buying and use ofpreferred suppliers.
- Liaising with theclient regarding payment of invoices
- Monthly debtcalls with contract teams
- Continually develop systems to maximizeefficiency benefits for the customer and GWS.
- Liaising with clients on various mattersand attending to their needs whilst maintaining a strong working relationship.
Finance
- Support month-end closing for thecountries in scope
- Preparation of various internal reportsand analysis
- Prepare billing checklists, MIPs
- Assist the LeadContract Support in the production of billing applications, calculatingmargins, raising invoices, and submitting to clients.
- Assist LeadContract Support managing control of the invoice pool.
- Creation andreview of management reports such as WOM, OPO's & COUPA.
- Raising PurchaseOrders when required.
- Reviewing openPurchase Orders and liaising with the site team to achieve closures.
- Comprehensivespend tracking.
- Drive high-quality financial performanceto influence P&L results.
- Ad-hoc reporting as requested by theBusiness Unit or Business/Finance.
- Assisting Lead Contract support in clientonboarding
- Supporting supplier onboarding
- Assisting with supplier invoice queries.
Processes,Procedures and Reporting
- Ensure company policies and procedures areadhered to consistently throughout the Business Unit / Contract and ContractSupport Team.
- Deliver the accuracy and integrity ofaccounting records and financial systems, identify opportunities to enhancesystem efficiencies.
- Demonstrateknowledge of procedures and processes and deliver these to the requiredstandard.
- Deliver andmaintain compliance through the required procedures and processes through theContract Support Team.
What You’ll Need:
- Highly computer literate
- IT Skills to achieve key tasks andgive the business a sound reporting base.
- Superior written and verbalcommunication skills with strong oral presentation skills.
- Capable of working in a matrixenvironment.
- Organised and open to new ways ofworking to challenge inefficiencies
- Thorough understanding of business andcustomer-facing environments.
- Understands the requirements ofoperating in a contract environment.
- Previous experience of a serviceindustry role
- Been a part of a high-performing team.
- Management skills to maximise theperformance of staff working directly for them and others
- Customer focus skills with a passionfor customer service.
- Effective communication skillsenabling the individual to work with clients, suppliers, and staff at alllevels
- Self-motivated and ambitious
