Summary
We’re looking for a highly organised and proactive Business Support Manager to join a major New Hospital Programme. This is a key role supporting the Project Director and wider programme team, ensuring smooth day-to-day operations.
You’ll take ownership of high-level business support, including purchase ordering, governance support (meetings, boards, minutes), and PA support to senior leadership. You’ll also help coordinate administrative activity across multiple workstreams and play a central role in keeping the programme running efficiently.
This role acts as the go-to point for operational support, managing priorities, resolving issues, and supporting internal processes such as onboarding, training, and team coordination.

- Experience managing purchase orders and administrative processes
- Strong IT skills and attention to detail
- NHS or public sector experience is desirable

Responsibilities
- Manage agreed financial resources and assume responsibility for placing orders as requested by the Project Director/Finance & Business Case Lead and committing financial expenditure for approval by the Project Director/Finance & Business Case Lead.
- Manage the inputting, receipting, and authorisation processes of orders as required and in accordance with Project and MFT procedures. Authorised signatory for financial payments.
- Provide and receive complex information in a range of different formats and use negotiation skills to ensure cooperation and an effective way forward.
- Maintain an accurate record and database of key information from all commercial and supplier contracts, e.g. PO Ref., Contract Expiry, Insurances (and dates of expiry), etc.
- Prepare reports, presentations, and graphs to support the delivery of the New Hospital Project and as required by the Project leadership team.
- Develop and implement business management systems and administrative processes and systems to support the effective and efficient running of the New Hospital Project and to ensure a professional service is delivered at all times.
- Establish and manage databases as required.
- Regularly review systems and practices within the New Hospital Project Team to continually improve service delivery.
- Monitor and order PPE for Project Team Members as may be required from time to time.
Qualifications
- Knowledge of administrative and organisational policies and procedures.
- Knowledge of a wide variety of IT packages and data flows.
- Experience of supporting finance processes such as purchase orders, invoices, or expense claims.
- A good understanding of the dynamics of the NHS and the values of the UK Public Sector.
- Excellent experience of MS Office suite (Word, Excel, Powerpoint, Visio, Outlook) to a high level of competence.
- Excellent communication skills, both written and oral, and able to present complex or sensitive information effectively.
