What's involved with this role:
This role supports the effective management of estate, lease and asset information by ensuring data accuracy, consistency and integrity across property and asset management systems. The successful candidate will work closely with finance, billing and asset management teams to review lease documentation, reconcile billing information and maintain accurate records within the organisation’s Integrated Workplace Management System (IWMS).
The role requires excellent analytical and organisational skills, strong attention to detail, and the ability to work with complex property and financial data from multiple systems and sources. The successful candidate will be confident engaging with stakeholders, resolving data inconsistencies and supporting informed decision making through accurate and reliable estate data management.
Skills & Experience required:
- Proven experience working within asset management, estates and property environments.
- Demonstrable experience interrogating lease documentation, billing schedules, asset registers, and related contractual information.
- Practical experience of IWMS, CAFM, property management systems, or similar enterprise asset systems.
- Strong understanding of property and estates concepts
- Experience working with financial and billing data, ideally in collaboration with finance or billing teams.
- Experience consolidating and validating data from multiple systems and sources into a central database.
- Experience managing data-related queries and resolving inconsistencies through constructive stakeholder engagement.
Key Responsibilities:
- Interrogate lease agreements, schedules, and supporting documentation to extract accurate commercial, financial, and key date information.
- Review, validate, and reconcile billing data against lease terms, ensuring accuracy and completeness.
- Input, upload, and maintain lease, asset, and billing data within the Integrated Workplace Management System (IWMS).
- Liaise with internal billing, finance, and asset-owning departments to clearly understand what assets are currently invoiced, billing frequencies, and key billing dates.
- Analyse data from multiple sources (e.g. lease documents, spreadsheets, finance systems, legacy databases) to identify gaps, anomalies, and risks.
- Produce clear summaries and insights to support decision-making and system confidence.
