About the Role
CareCo is seeking an organised, proactive, and detail‑focused Facilities Coordinator to support the Facilities & Engineering Manager in ensuring the smooth, safe, and efficient operation of our nationwide estate. The Facilities team currently oversees 40 sites across the UK, with this number continuing to grow, making this an exciting opportunity to join a fast‑expanding organisation and play a key role in maintaining high operational standards.
As a Facilities Coordinator, you will play a central part in managing day‑to‑day facilities operations. You will coordinate planned and reactive maintenance, support compliance activities, liaise with contractors, and ensure accurate documentation across our systems. Your work will help maintain a safe, well‑managed environment for colleagues and visitors across the CareCo estate.
As a Facilities Coordinator, you will:
- Support the delivery of Hard and Soft Services, including cleaning, landscaping, and general maintenance.
- Coordinate planned and reactive maintenance activities in line with SFG20 standards.
- Raise, monitor, and close work orders within the CAFM system, ensuring accurate records and timely completion.
- Assist in monitoring contractor performance, ensuring adherence to SLAs and KPIs.
- Support inspections and audits across company sites to maintain Health & Safety and compliance standards.
- Work closely with the Health & Safety Team to ensure maintenance activities are carried out safely and in line with regulations.
- Maintain up‑to‑date compliance documentation and ensure all records are logged within the Integrated Management System (IMS).
- Support site H&S and fabric audits, including producing reports and action plans.
- Assist with budget tracking, including purchase orders, invoices, and contractor quotations.
- Support bill validation, reporting, and maintaining accurate utilities and energy consumption records.
- Prepare weekly Facilities reports for review by the Facilities & Engineering Manager.
- Ensure new properties and assets are added to the CAFM system and labelled with QR codes for issue reporting.
- Liaise with contractors and suppliers to arrange site visits, service delivery, and repair works.
- Validate contractor documentation, including RAMS, insurance, and certifications.
- Assist in implementing efficiency improvements and sustainability initiatives, including energy‑saving measures.
- Provide support to internal teams with facilities queries and training.
- Participate in the on‑call rota when required and maintain flexibility with working hours.
- Commit to ongoing professional development and attend relevant training sessions.
About you
To be considered for the position of Facilities Coordinator you will:
- Be highly organised with strong attention to detail
- Be confident in managing multiple tasks and priorities
- Be comfortable working with contractors and external suppliers
- Have knowledge about facilities operations, compliance, and Health & Safety
- Be Proficient with CAFM systems (or willing to learn)
- Be a strong communicator with a proactive, solutions‑focused approach
- Have a full UK driving licence, as travel to UK‑wide sites will be required
