Join our Administrative Department at Fitzwilliam Clinic as a Medical Secretary. We are seeking a highly organised and professional Medical Secretary to join our private clinic. The successful candidate will provide comprehensive administrative support, ensuring the smooth coordination of patient care pathways for both private and Waiting List Initiative (WLI) patients.
This role requires excellent communication skills, strong attention to detail, and the ability to manage sensitive patient information with discretion and confidentiality.

Key Responsibilities
- Booking patients for both Private and WLI (Waiting List Initiative) services
- Arranging patient pre-assessment appointments and coordinating related documentation
- Confirming upcoming procedures, and admissions with patients
- Creating, updating, and maintaining accurate patient records and profiles on internal systems
- Managing patient telephone and email queries in a professional and timely manner
- Completing medical dictations
- Managing WLI administration, including spreadsheets, activity returns, patient discharges, and liaison with contract teams
- Maintaining PHIN (Private Healthcare Information Network) data requirements and ensuring accurate submissions
- Coordinating implant requests and submitting requirements for ordering via the Theatre Manager
- Supporting Practice Manager, Operations Lead and Clinical teams with general administrative duties as required

Skills and Experience
Essential
- Previous experience in a medical secretary or healthcare administrative role
- Excellent organisational and time management skills
- Strong written and verbal communication skills
- High level of accuracy and attention to detail
- Ability to manage confidential information professionally
- Proficiency in Microsoft Office and patient management systems
- Ability to work independently and within a multidisciplinary team
Desirable
- Experience within private healthcare or cosmetic surgery environments
- Knowledge of PHIN requirements
- Experience managing Waiting List Initiative (WLI) administration
- Audio typing or medical dictation experience
