The Role
We are seeking a detail-oriented and organised individual to join our friendly legal team (c. 50 staff). The right candidate will support a Senior Fee Earner in the administration of estates and probate matters by providing a mix of administrative assistance and legal document drafting, where required, ensuring efficient and compliant case management.
The right candidate will have possess strong administrative skills, with a focus on accuracy and efficiency and have excellent communication skills.
Responsibilities:
To include but not limited to :
- Opening and creating new files.
- Sorting new probate clients' paperwork.
- Entering client details on the case management system.
- Utilising the Firm's case management system to best effect.
- Proof-reading of documents.
- Preparing legal forms in Oyez.
- Submitting Land Registry applications online.
- Keeping clients updated as to progress.
- Sending and receiving emails.
- Preparing letters, memos and bills.
- Typing complex documents.
- Audio typing on digital audio system.
- Maintaining computerised diaries.
- Assisting clients both in person and by telephone and accurately taking messages when necessary.
- Dealing with new client enquiries.
- Inputting timesheets onto case manager.
- Booking house clearances, gardeners etc.
- Organising postal redirections.
- Following the firm’s procedures for requesting cheques, cash and bank transfers.
- Searching will registers and safe custody register for documents and files.
- Requesting wills, files and other documents from archive.
- Reviewing/progressing fee earner's files in their absence.
- Closing files ready for archive.
- Requesting identification documents from clients and completing AML checks using Credas software.
- Preparing account closure forms for financial institutions.
- Dealing with the sale/transfer of shares held on deceased estates including liaising with the Share Registrars and preparing all relative paperwork.
- Creating and updating Estate Accounts in Excel.
- Attending will signings with fee earners in or out of the office.
- Covering for other members of staff as required.
- Ensuring the confidentiality and security of all practice and client documentation and information.
- Ensuring that outstanding client care is given at all times.
- Complying with the Firm's various policies and procedures contained in the office manual.
- Any other duties that are reasonably asked of you by the Partners.
Experience and Qualifications
Essential
- Experience in a similar role for at least 2 years
- A good standard of English, both verbal and written
- Legal right to live and work in the UK
- A good standard of computer literacy and experience working with Microsoft Office
- A valid UK driving licence
Desirable
- Experience using Credas, DocuSign and Partner for Windows software
