Office Manager – Full time or Part time
We are looking for an exceptionally organised and technically minded Office Manager to join the team at a beautiful country estate just outside of Hertford. This is a varied and hands-on role sitting at the heart of the Estate's day-to-day operations, providing vital administrative and technical support. They are open to either full time or part time (minimum of 30 hours for part time).
The successful candidate will be a calm and capable professional who thrives in a dynamic environment, is comfortable working closely with and at all levels in the organisation and takes genuine pride in keeping things running smoothly behind the scenes. MAIN RESPONSIBILITIES
General
· First point of contact for phone calls, visitors and deliveries
· Manage the Estate Office inbox and distribute postal deliveries
· Procure office supplies and code relevant invoices
· Manage office service contracts
· Make meeting arrangements
· Maintain a tidy office and liaise with cleaners and other contractors relating to the office
· Send the weekly team email of duties and absences
· Ensure office notices remain up to date
Central Coordination
· Manage the Central Calendar and ensure it is kept up to date with all relevant internal and external dates
· Arrange and coordinate multi-team meetings
· Assist the Executive Trustee-Director with his meeting organisation, including Board meetings
· Co-ordinate out-of-hours rosters
· Arrange all-team training courses and Estate-wide inspections
· Carry out contractor onboarding and updates for office-based or Estate-wide contractors
· Monitor the contractor database to ensure consistency of records between teams
· Co-ordinate staff birthday and anniversary recognition
Health & Safety
· Support day-to-day health & safety compliance, including office procedures and DSE checks.
Technology
· Act as the first point of contact for IT queries, working closely with external providers.
· Lead on cyber security awareness, GDPR compliance and practical staff training.
· Keep AV, VC, phone directories and shared digital resources running smoothly.
· Champion best practice across Microsoft 365, SharePoint, Planner, To Do and emerging apps such as Power Automate.
· Identify smarter ways of working through new technology, automation, AI tools and improved systems.
· Develop and manage JotForm, HubSpot and other central business platforms.
· Manage software subscriptions, group contracts and technology processes for starters and leavers.
Security
· Oversee access control, CCTV, alarms, keys, passwords and security records.
· Research and recommend improved systems where needed.
Other
· Hold responsibility for Office and IT budgets.
· Provide trusted administrative support to the Executive Trustee-Director.
· Support Divisional Coordinators with cover when required.
· Take on varied duties in line with the needs of the role.
Essential
· Proven experience in a similar office management, coordination or operations role.
· Highly organised, calm under pressure and confident juggling multiple priorities.
· Strong technical confidence, with a genuine interest in systems, software and cyber security.
· Quick to learn new platforms, solve problems and spot opportunities to improve how things work.
· Flexible, proactive and collaborative, with a positive team-first approach.
