The REAL Clinic is a consultant-led private hospital based in Battersea, London, offering specialist services across cosmetic surgery, non-surgical aesthetics, ophthalmology, ENT, vascular surgery, and doctor-led wellness programmes. The Role
As our Patient Coordinator, you'll be the face and voice of the hospital the first person our patients encounter and the impression that stays with them. This is a full-time, front-of-house role at the heart of our day-to-day operations. You'll manage our busy reception, handle patient enquiries, coordinate appointments, and keep everything running smoothly behind the scenes.
This isn't a back-office admin job. It's a visible, rewarding role for someone who wants to grow within a specialist medical and aesthetics setting.
What You'll Be Doing
- Welcoming patients and visitors warmly, creating an environment that feels calm, professional, and reassuring
- Managing all inbound calls and enquiries, triaging appropriately and handling with excellent telephone manner
- Coordinating appointments and clinic schedules using our practice management system (Pabau)
- Supporting patient journeys from initial enquiry through to post-treatment follow-up
- Handling patient records, consent forms, and clinical documentation accurately and confidentially
- Processing payments, managing invoicing, and supporting day-to-day admin operations
- Keeping the reception and waiting areas immaculate and welcoming at all times
- Working closely with clinical staff and consultants to ensure seamless patient flow
What We're Looking For
Essential:
- A genuine passion for aesthetics, beauty, or private medical care, this matters to us
- A natural flair for delivering exceptional customer or patient experience
- Confident, warm communication skills. In person, on the phone, and in writing
- Strong organisational ability with excellent attention to detail
- Proficiency with Microsoft Office and comfortable learning new software
- Discretion and professionalism when handling sensitive patient information
- A proactive, can-do attitude and a desire to grow with the business
Desirable:
- Previous experience in a private clinic, aesthetics practice, or luxury healthcare setting
- Familiarity with practice management software (e.g. Pabau, Aesthetic Nurse Software, or similar)
- An understanding of aesthetic treatments, procedures, or medical terminology
