Role Purpose
The job holder is responsible for providing coordination of office and operational administration to support the smooth and compliant functioning of 4R. The role coordinates office and compliance activities, and delivers administrative, marketing, and customer documentation.
This role is well suited to an individual who enjoys working in a multi-functional support position, is highly organised, and takes pride in accuracy, confidentiality, and compliance. It will suit someone who is comfortable managing multiple priorities, communicating with staff and customers, using digital tools and templates, and supporting both people-focused and operational processes.
This is a maternity cover position for an initial period of 12 months.
Contract - Fixed-term (12 months – maternity cover)
Hours - Monday - Friday 40 hours per week
Main Duties and Responsibilities – What you need to do.
Operations & Administration
- Mapping of fields, using 4R templates
- Compiling customer Farm Files
- Monitor and update customer service records
- Formatting documents on Microsoft applications including, Word, Excel, etc
- Creating marketing material from templates on Canva
- Posting Social media content
- Supplying customer quotes to accounts team to raise invoices
- Filing both paper and electronic documents in the 4R filing system
- Compiling letters, spreadsheets and databases as required
- Telephone communication with 4R staff and customers
- Compliance with 4R systems
- Act as the first point of contact for employees for day-to-day IT and phone queries, escalating issues as required
- Liaise with external IT support and telecommunications providers to log, track, and resolve technical issues
- Maintain office supplies and coordinate office facilities
- Processing letters and parcels for posting.

Qualifications
- Preferred minimum 2 GCSE’s (Maths & English)
Skills/Knowledge
- Strong knowledge of IT systems, including MS Word, Excel & Outlook, Canva, Docusign, Social Media
- Minimum 2 years office work experience
- Farm/agricultural secretary experience is an advantage
- Excellent written and oral communication skills are essential
- Strong analytical skills
- Proactive and can prioritise heavy workloads
- Good interpersonal skills and work well in a team
- Positive attitude to staff and customers
- Adapt to short notice changes to make sure that all deadlines are met

Pay and Benefits
Salary - £27,000
Holiday - 25 days plus 8 recognised bank/public holidays
