Position Details
Job Title: Part-Time Office Administrator (Office based)
Hours: 23 hours per week
Holidays: 12 days
Lunch Break: 30 minutes per day
Rate of Pay: £12.50 - £14.00 per hour, dependent upon skills, experience and suitability for the role.
Purpose of the Role
To provide efficient administrative support across the business, ensuring the smooth running of office operations, customer and supplier communications, order processing and administration through the company's ERP system.
Key Responsibilities
General Administration
- Answer and direct incoming telephone calls.
- Welcome visitors and provide a professional first point of contact.
- Manage general filing and document control.
- Maintain accurate office records and company documentation.
- Carry out a variety of office administration and organisational tasks.
- Support the team with day-to-day administrative requirements.
Customer and Supplier Support
- Progress customer orders and provide updates where required.
- Progress supplier purchase orders and liaise with suppliers regarding delivery schedules.
- Maintain accurate records of customer and supplier communications.
- Assist with customer enquiries and ensure a high level of customer service is maintained.
Tricorn ERP System
- Book out completed jobs.
- Raise delivery notes and Certificates of Conformity (CofCs).
- Create and issue purchase orders.
- Book in purchased goods and materials.
- Process customer invoices.
- Ensure system records are accurate and up to date.
- Scanning of documents on to Tricorn.
Skills and Experience
Essential
- Previous experience in an administrative or office support role.
- Good IT skills, including proficiency in Microsoft Word, Excel and Outlook.
- Excellent written and verbal communication skills.
- Strong organisational skills with excellent attention to detail.
- Ability to prioritise workload and work independently.
- Professional and confident telephone manner.
Desirable
- Experience using an ERP system, preferably Tricorn.
- Experience within a manufacturing, engineering or production environment.
- Knowledge of ISO quality systems and documentation.
