The post-holder is an Administrator / General Pratice Assistant
The Administration Assistant will be responsible for undertaking a wide range of administrative duties and the provision of administrative support to the multidisciplinary team.
Duties can include, but are not limited to, secretarial work (audiotyping and referrals), coding clinical letters, summarizing patient records, making appointments, processing of information (electronic and hard copy) in a timely manner and in accordance with current policies.
The post-holder will support staff with the distribution of information, messages and enquiries for the clinical team, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers.
The post-holder will be an integral part of the general practice team.

The following are the core responsibilities of the Administration Assistant in delivering health services. There may be, on occasion, a requirement to carry out other tasks. This will be dependent upon factors such as workload and staffing levels:
a. Undertake a broad spectrum of administrative duties commensurate with the role
b. Audiotyping
c. Processing of referrals and Advie and Guidance using the ERS system
d. Process incoming and outgoing mail
e. Summarising of medical records on to the computerized medical records
f. Coding of clinical letters, adding medications, recalls, and important information from letters to the medical records and forward to clinicians as appropriate
g. Process of recall system as required
h. File and store records as required
i. Photocopy documentation as required
j. Process and distribute incoming emails
k. Process changes to patient registration, deduction of record and new patient registration
l. Answer incoming phone calls, transferring calls or dealing with the callers’ requests appropriately
m. Assist with total triage administration
n. Welcome patients and visitors to the organisation, directing requests appropriately
o. Be an integral part of the general practice team
p. Act as a chaperone as required
q. Be aware of duties and responsibilities regarding current legislation and adhere to practice policies and procedures on safeguarding adults and safeguarding children
r. Support in the delivery of enhanced services and other service requirements
s. Undertake all mandatory training and induction programmes
t. Contribute to and embrace the spectrum of clinical governance
u. Maintain a clean, tidy, effective working area at all times
v. Attend a formal appraisal with their manager at least every 12 months. Once a performance/training objective has been set, progress will be reviewed on a regular basis so that new objectives can be agreed
