Mayfair (FOH) is looking to recruit a Receptionist to be a part of our flexible relief team. This position will be to cover holidays and sickness within our sites in and around Edinburgh. This is a fantastic opportunity for a flexible, self-motivated and organised individual to join our team and support our continued expansion.
This role would be best suited to someone who has a degree of flexibility and availability as this is a relief position and a set shift pattern will not apply.
The Receptionist is the first person most tenants and visitors will meet on arrival at the property, so it is important this first contact is conducted in a friendly, polite and courteous manner along with excellent presentation and efficiency.
As a representative of Mayfair Front of House, this is a key role with responsibility to manage the provision of reception, concierge and on-site direction of building services to client properties, building tenants and their visitors.
As a customer service role, the employee needs to demonstrate excellent interpersonal and communication skills with other people with whom they will interact in a variety of roles.

What You Will Be Doing: (Duties & Responsibilities)
Client Relations
· Deliver a positive customer experience within the building at all times
· Build lasting, long term, professional relationships with customers
· Maintain a professional and courteous manner to all colleagues, tenants, and members of the public
· Act as a first point of contact for any visitor to the building and registering their entry and exit
· Respond promptly and pro-actively liaise regularly and closely with tenants regarding any issues arising at the building to either deal with issues directly or refer to Building Manager for direction
· Communicate with clients on all queries, complaints, comments, operations, events, memos/notices and troubleshooting, and provide positive and prompt feedback and solutions
Operations
· Liaise with the Building Manager on the day to day running of the property
· Administration tasks set by Building/Property Manager
· Manage incoming calls and directing to the appropriate person
· Ensure all building operational requirements are monitored and are being implemented timeously
· Must be able to understand the general utility set up and accurately log and obtain monthly meter readings for electricity, gas and water as directed by Building Manager
· Ensure that all communal areas of the building and vacant premises are inspected to comply with relevant Health & Safety and insurance requirements and complete appropriate records (all necessary instruction and training will be provided)
· Ensure/record all fire system testing is carried out in compliance with Fire Regulations
· Ensure Health & Safety and Quality policies are adhered to and on-site incidents, such as accidents, or discrepancies are immediately reported to the Building Manager and the appropriate action is taken and documented
· Where required, act as Fire Marshall
· Where required, act as First Aider
· Not to accept handover of keys or keyholding responsibilities without prior agreement of Building Manager but to act as a keyholder for any out of hours buildings call out
· To produce reports as required
· Deal with mail, deliveries and sorting accordingly
· Ordering of consumables for site
People Management
· Monitoring of internal cleanliness and reporting to Building Manager if the standards are not maintained
Other duties
· Must be available/willing to accommodate work out with contracted hours as and when required to assist with specialist works from time to time
· As directed, undertake other duties which are incidental and peripheral to the key responsibilities, provided that such duties are reasonably within the requirements and responsibilities of the position
· Contribute to the culture and act as an ambassador for the companies strategy
What We Need From You: (Skills & Experience)
· A disclosure dated within 1 year is required if the applicant does not hold one they must be prepared to obtain one
· You must be competent in IT skills (Word, Outlook, Excel) to efficiently prepare any reporting necessary to your Line Manager
· Strong problem solver who can work with a high degree of autonomy
· Must always conduct yourself in a helpful and professional manner
· To be discrete and honest in your dealings with other parties so as not to divulge private or confidential information
· When on duty, you must always wear the designated uniform and company ID badge and present a smart appearance
