Are you highly organised, detail-focused, and thrive in a fast-paced environment? Do you enjoy coordinating logistics, building relationships, and ensuring everything runs smoothly behind the scenes? If so, CalMac Ferries has an exciting opportunity for a Crew Travel Assistant to join our team.

About the Role

As our Crew Travel Assistant, you'll play a vital role in supporting our seagoing colleagues by co-ordinating and managing accommodation arrangements across the fleet. Working closely with Crewing and Training teams, vessels, and accommodation providers, you'll ensure crew members have safe, comfortable, and cost-effective accommodation whenever and wherever it's needed.

No two days are the same. From managing bookings and resolving accommodation queries to supporting operational planning and reporting, you'll be at the heart of ensuring our crews are where they need to be to keep our lifeline ferry services running.

What You'll Be Doing

Booking and managing accommodation for crew members across the fleet
Coordinating accommodation in line with vessel schedules and crew deployment plans
Managing booking amendments, cancellations, and confirmations
Acting as the main contact for accommodation-related queries from crews and internal stakeholders
Building strong relationships with hotels and accommodation providers
Supporting invoice validation, purchase orders, and cost control activities
Maintaining accurate records and reporting on accommodation spend and usage
Assisting with operational cover arrangements, including dry dock periods
Supporting compliance with company policies, audit requirements, and data protection standards
Participating in an out-of-hours on-call rota when required

What We're Looking For

We're seeking someone who can stay organised under pressure, manage multiple priorities, and deliver excellent service to both internal and external stakeholders.

You'll ideally have:

Experience in administration, travel co-ordination, bookings, or a similar role
Strong IT skills, particularly Microsoft Excel, Word, and Outlook
Excellent communication and relationship-building abilities
Outstanding organisational skills and attention to detail
A proactive, solutions-focused approach
Experience working with suppliers or service providers in a busy operational environment

A qualification in Business Administration or a related discipline would be advantageous but is not essential.
