We are seeking to recruit a part-time receptionist to join our ground floor team. This is an exciting opportunity to join a dynamic, busy reception team in modern, purpose-built premises.
We are looking for a motivated individual to support our clinicians to deliver high quality patient focused care.
Mowbray Square Medical Centre is a purpose-built site shared between Strayside Health and The Spa Surgery. Together, both practices form the Mowbray Square Primary Care Network (PCN) which is responsible for approximately 30,000 patients.
Each Practice have their own team of GPs, Nurses, Pharmacists, Managers and Receptionists. These are supported by well-organised and professional shared teams who provide services to both practices within the Mowbray Square PCN.
You will be working within the Ground Floor Reception Team, being responsible to the Shared Teams Manager.
MAIN RESPONSIBILITIES AND ACTIVITIES
- Greet patients and visitors in an efficient and courteous manner, ensuring that the ground floor is open at the correct time each day.
- Provide an effective and polite enquiry service.
- Proactively communicate information between relevant visitors, patients, managers, and health care professionals on arrival, notifying the appropriate people when required.
- Accepting post and deliveries and notifying/distributing post to the appropriate person.
- Handling samples according to Practice protocols to ensure that they are correctly logged or placed for collection.
- To encourage and support patients with digital health provision, e.g., NHS App and online access.
- Handle confidential information in accordance with local and wider GDPR policy, ensuring patient records are accessed appropriately and information sharing is strictly managed according to Caldicott principles.
- Ensure the ground floor consulting rooms are set up for daily clinics, with adequate supplies of couch rolls, gloves etc.
- To establish and maintain filing and administrative systems so that information is easily accessible and secure
- To receive incoming and initiate outgoing telephone calls to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries
- To assist with the gathering of data and information as and when required
- Keep own work areas and general / patient areas clean and tidy, assisting in the maintenance of general standards of cleanliness consistent with the scope of the job holder
- Regularly use IT systems including raising and preparing blood forms for booked clinics and dealing with tasks in a timely and appropriate manner.
- Maintain stock levels of stationery and consumables, submitting orders to the Shared Teams Manager where necessary
- To liaise with Clinicians and other users of treatment rooms to ensure agreed requirements are met in line with the Shared Teams Manager.
- Diarise room bookings for external and internal users, ensuring the relevant calendars are kept up to date
- To carry out administrative duties for the practices within MSMC.
- Complete statutory and mandatory training as directed by the Shared Teams Manager.
- Coordinate tasks allocated to the Ground Floor Reception Team.
- To support other members of the reception team to ensure timescales are achieved.
- To be/become a proficient user of MS Office, AccuRx and all aspects of SystmOne including appointments, tasks, notifications and access to patient records in accordance with protocols, using standardised templates wherever possible.

Health & Safety:
The post-holder will assist in promoting and maintaining their own and others’ health, safety and security as defined in the practice health & safety policy, the practice health & safety manual, and the practice infection control policy and published procedures. This will include:
- Using personal security systems within the workplace according to practice guidelines
- Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks
- Making effective use of training to update knowledge and skills
- Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards
- Actively reporting of health and safety hazards and infection hazards immediately when recognised
- Keeping own work areas and general / patient areas generally clean, assisting in the maintenance of general standards of cleanliness consistent with the scope of the job holder’s role
- Undertaking periodic infection control training (minimum annually)
- Reporting potential risks identified
