Full job description

Role Overview:

The successful candidate will be the first point of contact for clients, requiring a professional, approachable, and confident manner. They must remain calm in difficult or stressful situations and be a team player capable of working independently within a busy department. Attention to detail, accuracy, and thoroughness are essential, along with flexibility and the ability to prioritise tasks. As Heritage Wills is continually evolving, the ability to embrace and enjoy change is key.

Summary of Job:

Handle incoming and outgoing telephone, email, and webchat enquiries from existing and new clients.
Arrange appointments for Estate Planning Consultants.
Provide support to Estate Planning Consultants with continued client support, assisting with documents and chasing outstanding information.
Have the ability to build excellent customer relations through effective communication and service.
Maintain and update client records, take payments, and perform general office duties.

Main Responsibilities:

Professionally handle enquiries from existing and new clients.
Welcoming clients to the office when attending appointments.
Arrange appointments for Estate Planning Consultants.
Assisting clients with documents.
Providing administrative support to Estate Planning Consultants
Answer clients initial questions about products, services, and fees.
Manage a personal call list of potential clients.
Accurately upload new enquiry details to the database.
Record all client interactions and ensure contact details are up-to-date.
Ensure the Estate Planning Consultants' diary is managed and updated correctly.
Process client payments.
Perform other administrative duties as required.

Technical and Essential Skills:

Experience in a customer service role.
Passionate about providing a great experience for all clients.
Demonstrable professional telephone manner.
Ability to maintain focus and accuracy in a busy office environment.
Ability to work individually and as part of a wider team.
Experience using Office 365 (Outlook, Word, Excel).
Ability to embrace change.
