Legal Client Services Administrator (Legal Team) – Vietnamese Speaking
Location: Canary Wharf, London (E14 5RE)
Hours: Monday to Friday, 9:00am – 5:00pm (1-hour unpaid lunch break)
Employment Type: Full-time, Permanent position subject to successful completion of a 5-month probation period.
Salary: Starting from £24,500 per annum
Post-probation review: Salary to be reviewed and increased upon successful completion of the 5-month probation period, subject to performance and business needs.

Alstern Solicitors is an SRA-regulated law firm based in Canary Wharf, London. We are small growing firm providing exceptional services including Immigration, Property & Commercial Conveyancing, Family Law, Wills & Probate , and Commercial & Corporate.
Our firm is seeking for a self-motivated and proactive Legal Client Services Administrator (Vietnamese Speaking) to join our Legal Team. The role is responsible for managing client enquiries generated by the Business Team, assessing enquiries and supporting their conversion into instructed matters, assisting the onboarding process, coordinating appointments, and handling client communication throughout the early stages of the legal matter and during ongoing cases where required.
This role combines elements of customer service, legal administration, lead conversion, client relationship management, and legal coordination to ensure prospective enquiries are professionally managed and converted into instructed matters while maintaining a high standard of client care.
The successful candidate will also work closely with solicitors, paralegals, legal assistants, and the Business Team to ensure clients receive appropriate support and experience a smooth journey throughout their matter with the firm.
Key Responsibilities
- Handling incoming enquiries and responding to leads across phone calls, email, website enquiries, social media platforms, and other communication channels.
- Speaking with prospective clients to understand the nature of their enquiry and gathering relevant background information and documents.
- Liaising with solicitors, paralegals, and legal assistants to assess whether matters are suitable for the firm to take on.
- Supporting the conversion of enquiries into instructed matters through professional follow-up, relationship management, and client communication.
- Providing fee quotations for legal services and following up with prospective clients throughout the onboarding process.
- Booking consultations and coordinating appointments with members of the Legal Team.
- Assisting with the client onboarding process, including opening files, printing & scanning, preparing onboarding documentation, and carrying out administrative procedures.
- Gathering client identification documents and information required for compliance and legal review.
- Providing customer service support to clients throughout the onboarding stage and during ongoing matters where appropriate.
- Maintaining accurate records and updating internal systems, CRM platforms, and case management systems.
- Assisting with general administrative duties and supporting smooth communication between the Business Team and Legal Team.
- Supporting business development and client relationship activities where required.
- Developing and maintaining a general understanding of the firm’s legal services in order to support client enquiries and improve lead conversion.
- Assisting with marketing activities, including recording legal informational videos, drafting legal articles, and supporting social media or content creation initiatives.
- Supporting the firm in maintaining a professional and client-focused service standard at all times.
- Meeting individual and team performance expectations, including responsiveness to enquiries, client care standards, lead follow-up, attendance, organisation, and contribution towards enquiry conversion and business growth.

- Previous experience in customer service, administration, sales, or legal support is beneficial but not essential.
- Vietnamese speaking is essential.
- Previous experience within a law firm or professional services environment is advantageous.
- Qualifications in Law, Marketing, Business, or a related field are preferred.
- Previous experience in sales, lead management, or customer service is desirable.

- Bachelor’s degree in Law, Business, Marketing, or a related field (preferred).
Experience
- Previous experience in legal services or a law firm environment (preferred).
- 1–2 years of customer service, sales, or administrative experience (preferred).
Language
- Vietnamese language skills are essential
