The Role
This is a key position within our operations team.
Once a customer places their order, you'll become one of their main points of contact, helping guide them through the installation process from order through to completion.
You'll work closely with our Operations Manager, Installation Manager, Procurement Officer and installation teams to ensure every project runs smoothly and every customer receives the exceptional service Cairnview is known for.
This isn't simply an administration role.
We're looking for someone who enjoys taking ownership, solving problems, making decisions and continuously improving the way things are done.
What you'll be doing
You'll be responsible for:
- Coordinating installation schedules and maintaining visibility of upcoming work
- Working closely with procurement regarding product availability and lead times
- Liaising with installers to ensure projects are planned efficiently
- Keeping customers informed throughout their installation
- Managing service requests and remedial works through to completion
- Handling customer enquiries professionally and confidently
- Maintaining accurate records within our CRM system (AdminBase)
- Preparing paperwork, payment reminders and job completion documentation
- Producing clear handovers and operational updates
- Identifying risks early and helping resolve issues before they become problems
- Suggesting improvements to our systems, processes and customer experience

- Customer service
- Operations coordination
- Scheduling
- Administration
- Home improvements, construction or another service-based industry
Experience coordinating installers, engineers or contractors would be advantageous but isn't essential.
