LATE SHIFT - 13:00 22:00 - MONDAY TO FRIDAY

Warehouse Operations Administrator

Location: Rugby
Department: Warehouse Operations
Reporting to: OFFICE MANAGER Manager

Role Overview

We are looking for an organised and proactive Warehouse Operations Administrator to support the smooth day-to-day running of our Rugby warehouse.

This is primarily an office-based warehouse role, responsible for preparing orders, producing labels, maintaining operational records and coordinating customer bookings. The successful candidate will work closely with the warehouse management and operations teams to ensure each shift is well prepared and customer orders are processed efficiently.

The role may also involve supporting the warehouse team with picking and packing during busy periods.

Key Responsibilities

Print and prepare customer orders for the warehouse operation.
Organise and produce the required order and shipping labels.
prepare order call-offs for the following day, ensuring everything is ready before the start of the shift.
Investigate stock discrepancies and work with the relevant teams to resolve them.
Respond promptly and professionally to internal and external email queries.
Arrange wholesale delivery bookings through customer portals, including Boots, Ocado and other retailer systems.
Maintain accurate booking records and communicate delivery requirements to the warehouse team.
Update and check timesheets for temporary warehouse staff.
Maintain staff productivity figures and prepare regular performance updates.
Support the Warehouse Manager with general administrative and operational duties.
Maintain accurate records, spreadsheets and filing systems.
Communicate priorities, changes and potential issues to warehouse management.
Support continuous improvement within the warehouse operation.
Assist with picking, packing and other warehouse duties when additional operational support is required.
Follow all company health and safety, quality and security procedures.

Skills and ExperienceEssential

Previous administrative experience, ideally within a warehouse, logistics, distribution or fulfilment environment.
Strong organisational skills with good attention to detail.
Confident using Microsoft Outlook, Excel and other office systems.
Good written and verbal communication skills.
Ability to manage competing priorities and work to daily deadlines.
Comfortable working independently and as part of a warehouse team.
Able to investigate problems and follow them through to resolution.
Flexible and willing to support different areas of the operation when required.

Desirable

Experience using warehouse management or order-processing systems.
Experience with retailer or customer booking portals.
Previous experience arranging wholesale bookings for customers such as Boots or Ocado.
Experience maintaining temporary-staff timesheets and productivity records.
Understanding of stock-control processes.
Previous picking and packing experience.

This is mainly an office-based role within a busy warehouse environment. The successful candidate will work closely with the operational team and may occasionally be required to work on the warehouse floor.

Appropriate training and personal protective equipment will be provided where required.

Pay: £25,420.00-£28,000.00 per year
