QOF Administrator

Bishops Waltham Surgery

We are looking for an organised, proactive and detail-focused QOF Administrator to join our team at Bishops Waltham Surgery.

This is a full-time administrative role with a particular focus on supporting the practice to achieve high standards across the Quality and Outcomes Framework (QOF), CQC requirements, medication reviews and clinical performance. The successful candidate will work closely with our clinical, administrative and management teams to ensure that patient records are accurate, required reviews and interventions are identified, and outstanding work is progressed throughout the year.

Key Responsibilities

The QOF Administrator will be responsible for coordinating and supporting the practice's QOF, CQC and associated data-quality activity. Duties will include:

Monitoring QOF performance and identifying areas requiring action.
Running and reviewing searches to identify patients who require reviews, tests, monitoring or other interventions.
Running, reviewing and actioning relevant CQC searches to support the practice in maintaining compliance and identifying areas requiring follow-up.
Supporting the practice with ongoing CQC readiness by ensuring relevant searches are completed, results are reviewed and any required actions are followed up with the appropriate team members.
Helping maintain clear records and evidence of completed searches and actions for CQC purposes.
Proactively contacting patients and supporting recall programmes to ensure appropriate reviews are completed.
Supporting the medication review process by identifying patients who are due or overdue a medication review, contacting them and helping to arrange and book the appropriate appointment with the relevant clinician.
Helping patients understand what is required before their medication review, where appropriate, such as arranging relevant appointments, tests or monitoring in advance.
Working with GPs, pharmacists and other members of the clinical team to identify and follow up outstanding medication reviews.
Monitoring outstanding QOF work and following this through with the relevant clinical or administrative team members.
Reviewing patient records to identify missing or incomplete information and ensuring records are accurately maintained.
Supporting accurate clinical coding and data quality within the clinical system.
Checking that completed work has been correctly recorded and contributes appropriately towards QOF achievement.
Maintaining and updating QOF registers where appropriate.
Working closely with GPs, nurses, healthcare assistants, pharmacists and administrative colleagues to coordinate QOF and CQC-related activity.
Producing regular reports on QOF progress and highlighting areas where additional work is required.
Helping the practice plan workload throughout the QOF year rather than concentrating activity towards year end.
Supporting patient recall systems for long-term condition reviews and other clinical monitoring.
Identifying patients who have not responded to invitations and carrying out appropriate follow-up in line with practice procedures.
Assisting with QOF year-end preparation and ensuring outstanding work and data-quality issues are identified.
Keeping up to date with changes to QOF requirements and supporting the practice in responding to relevant CQC requirements.
Supporting other quality-improvement, enhanced-service, audit and data-quality work as required.

About You

We are looking for someone who is highly organised and comfortable taking ownership of a workload. You will need to be able to prioritise effectively, follow outstanding actions through to completion and communicate confidently with both patients and colleagues.

You should have:

Excellent attention to detail and a high level of accuracy.
Strong organisational and time-management skills.
Confidence working with computerised records, searches and data.
The ability to interpret information, identify gaps and take appropriate action.
Good written and verbal communication skills.
A proactive approach and the ability to work independently.
The ability to work collaboratively as part of a multidisciplinary practice team.
An understanding of confidentiality and the importance of handling patient information appropriately.

Experience of working in general practice or the NHS would be advantageous. Previous experience of QOF, CQC searches, medication review recalls, clinical coding, patient recalls, searches or primary care clinical systems would be particularly beneficial. Training can be provided for the right candidate.
