Full job description

Admin Team Leader at Nevells Road

Applications close Friday the 14th of August at 12 noon

Hours: To be discussed at interview.

The successful candidate will be expected to work a rota pattern that complements the hours worked by the existing Admin Team Leader, ensuring maximum Team Leader presence and operational cover across the working week.

The current Team Leader's working pattern is:

Monday: 13:00pm to 19:00pm
Tuesday: 12:00pm to 19:00pm
Wednesday: 8:00am to 19:00pm
Thursday: 8:00am to 17:00pm
Friday: Non-working day

Applicants should be aware that, to provide the best level of management support and leadership coverage for the administrative team, a significant proportion of their hours will be expected to fall outside of the above working pattern. This will include Monday & Tuesday mornings and Fridays as core working periods.

Regular overlap with the existing Team Leader will also form part of the working pattern to facilitate training, development, knowledge sharing, collaborative working, and continuity of leadership across the administrative team.

Pay: Dependent on candidate’s experience

Job summary:

The new Admin Team Leader, you will support the other Admin Team Leader and the surgeries Operations Manager in overseeing the daily operations, supervising and motivating administrative team members. You will assist with training and development, help communicate updates between staff and management, and help resolve issues to maintain a positive, efficient, and productive team environment.

Job responsibilities:

Administration

To have a thorough knowledge of all practice administrative procedures & systems.
To work in accordance with written protocols at the surgery.
Have a high level of IT literacy.
Ability to adapt to an ever-changing demand on primary care, to deliver modern general practice.
Is keen to develop themselves and learn new skills.
Has a clear understanding of the hierarchy of tasks & processes undertaken by each of the non-clinical teams (Reception, Triage, Secretaries, Scanning & Coding, and Care Coordinator) at the surgery, which will help with prioritisation.
Highlight areas for continuous improvement in how the surgery operates to the Operations Manager and Partners.

People Management

· People management & leadership experience.

· Set a good example for the team to follow.

Support staff with verbal complaints & service queries.

· Actively listen and observe team members, proactively offer support and training to them.

· Be the first point of contact for staff with questions with regards to how an administrative task is performed.

· Promote & support harmony amongst all staff at the surgery.

· Communicate surgery operational updates between staff and management.

· Adhere to confidentiality protocols both for staff members and patients.

· Highlight to the Operations Manager any gaps in the working rota due to staff absence, suggest solutions and/or how to mitigate the impact of this absence.

Main Duties (Please note this Is not an exhaustive list)

· Be the go-to person while at the surgery for non-clinical bases questions or queries.

· Be the go-to person if a patient over the phone or in person at the surgery wishes to speak to a member of the management team.

· Facilitate and lead admin team meetings / obtaining staff feedback

· Work with the Operations Manager to forward plan admin staff rota’s, arrange cover staff if necessary.

· Take responsibility during periods of unplanned absence to redeploy staff accordingly to meet the surgeries needs.

· Learn and undertake staff return to work meetings.

· Deliver training to admin staff.

· Work with the partners and Operations Manager to deliver, implement and train staff on process updates / new way of working.

· Undertake weekly and monthly monitoring to ensure CQC compliance.

When the Operations Manager is on leave, the Admin Team Leaders will be required to work together to undertake any essential business tasks in their absence with the support from the Partners.

Health & safety:

The post-holder will assist in promoting and maintaining their own and others’ health, safety and security as defined in the practice health & safety policy, the practice health & safety manual, and the practice infection control policy and published procedures. This will include:

Using personal security systems within the workplace according to practice guidelines
Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks
Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards
Actively reporting of health and safety hazards and infection hazards immediately when recognised
Keeping own work areas and general/patient areas generally clean, assisting in the maintenance of general standards of cleanliness consistent with the scope of the job holder’s role
Reporting potential risks identified
Demonstrate due regard for safeguarding and promoting the welfare of children.
