Job summary

We are seeking a Governance and Secretariat Officer to join our Governance & Secretariat Team (GST), part of the Office of General Counsel Directorate. This is an exciting opportunity to work at the heart of Ofgem, supporting our Board, Committees and Executive Leadership.

Working closely with Ofgems Board members and Senior Leadership Team, you will have exposure to the workings of a regulatory body which plays a crucial role in making sure energy markets work in the interests of consumers, both now and in the future.

You will hold a critical role in a high-profile team, delivering a complex and fast-paced secretariat function with a wide range of responsibilities.

Your work will include providing administrative support for Board and executive-level meetings, ensuring they are organised effectively and run smoothly. This includes preparing meeting packs, supporting the administration of meeting outputs such as minutes and actions, and helping to ensure Non-Executive Directors are fully supported in their roles. You will also manage and prioritise activity within the teams high-volume Secretariat inbox, ensuring queries and actions are progressed appropriately.

Alongside this, you will support the team in the effective use of Microsoft and other digital tools, helping to maintain strong information management practices and high administrative standards. Through proactive use of processes, checklists and tools, you will contribute to delivering a governance and secretariat service that is recognised across the organisation as professional, efficient and high quality.

Strong organisational skills, excellent attention to detail and the ability to manage multiple competing priorities will be essential in this busy and varied role.

This position would suit an organised and proactive individual who enjoys working in a fast-paced environment, communicates effectively with a range of stakeholders and takes pride in delivering high-quality support. Experience in governance, risk, assurance or another operational delivery role would be beneficial.

This role supports multiple senior meetings and business requirements may mean flexibility is needed at times to align with Board meeting schedules and key deadlines. While the role can be based in Cardiff or Glasgow, the successful candidate will be expected to attend the London office approximately 1-2 times per month to support key meetings and stakeholder engagement.

Key Responsibilities

A high-profile role responsible for supporting the day-to-day duties of a complex fast paced Secretariat function, providing support to Ofgems Board, its Committees and Executive Leadership.
Responsible for providing administrative support to management to organise the various Board and executive level meetings, to ensure they run smoothly.
Providing administrative support to ensure our Non-Executive Directors are supported in their roles and redirecting queries to appropriate colleagues.
Providing support on preparing meeting packs and assisting in the administration of outputs from board meetings such as minutes and actions.
Ensure the high volume, fast-paced Secretariat inbox is effectively organised and administration tasks and emails are actioned appropriately.
Supporting the team in proficient use of Microsoft and other digital tools, including effective information management.

Whilst we will try to be supportive of flexible working arrangements, this role is very busy supporting multiple senior meetings, so the business requirements mean that the candidate may need to flex their working patterns at times to align with, and support, board meeting times and deadlines.

This role will include some travel to London, Glasgow, Cardiff or other areas as needed to support the Board.

Essential Criteria:

An organised, proactive person with excellent attention to detail and a can-do attitude (Lead Criteria).

Capable of working in a fast-paced environment and able to keep track of multiple tasks, to ensure all requirements are completed to deadline.
Proficient in the use of all Microsoft software, including MS Teams, Outlook, Word and Excel.

Desirable Critieria:

Experience of working in Governance, Risk, Assurance or another operational delivery role would be beneficial.
